About the Role
We have an exciting opportunity for a highly organised and proactive Executive Assistant to support the Managing Director for New Zealand & Pacific Islands, along with the Senior Management Team (SMT).
This is a critical role within the business, where you will act as a trusted partner to senior leadership. You will play a key part in ensuring the smooth running of daily operations, supporting key business initiatives, and helping to drive engagement across the organisation.
Key Responsibilities:
- Provide high-level executive support to the Managing Director, including proactive management of diary, inbox, travel, and daily priorities
- Prepare high-quality reports, presentations, and communications to support senior leadership and business activities
- Coordinate and support the Senior Management Team (SMT), ensuring alignment to deadlines, actions, and corporate deliverables
- Act as a trusted point of contact, managing confidential and sensitive matters with professionalism and discretion
- Ensure seamless operations in the Managing Director's absence by prioritising and redirecting matters appropriately
- Lead the planning, coordination, and delivery of internal events, leadership forums, and employee engagement initiatives
- Manage the Events Committee and oversee the annual events calendar, ensuring events are delivered on time, within budget, and to a high standard
- Coordinate travel approvals and arrangements in line with DHL policies, including international travel requirements
- Build strong relationships across all levels of the business to support collaboration and effective delivery of priorities
- Support operational processes including procurement, invoicing, vendor coordination, and maintenance of organisational charts
- Contribute to internal communications and initiatives that enhance employee engagement and culture
- Take a proactive, solutions-focused approach in a dynamic, fast-paced environment
What You'll Bring:
- 3-5 years' experience in an Executive Assistant or similar role supporting senior leaders
- Exceptional organisational and time management skills, with the ability to manage competing priorities
- Strong communication skills, both written and verbal, with high attention to detail
- Proven ability to handle confidential information with integrity and discretion
- Experience coordinating events and managing travel
- Strong stakeholder management skills and the confidence to work across all levels of the organisation
- Proficiency in Microsoft Office applications
