Administration Manager

Eastside Refrigeration Ltd is seeking an organised, detail-focused, and experienced Administration Manager to lead our administration function and support the smooth operation of our HVAC, refrigeration, service, maintenance, installation, project, and Centigrade teams.
This key leadership role is responsible for managing a team of three administration staff and ensuring accounts payable, accounts receivable, payroll, reconciliations, job administration, reporting, and office processes are completed accurately, efficiently, and on time.
About the Role
The Administration Manager will oversee financial administration, payroll, job administration, team coordination, and continuous improvement. The role includes effective use of ERL's core systems, including Job Pak and Simpro, and the appropriate use of approved AI tools to support administration efficiency, reporting, data analysis, communication drafting, and workflow improvement.
Key Responsibilities
- Lead, support, and develop a team of three administration team members.
- Oversee accounts payable, accounts receivable, payroll administration, reconciliations, and month-end support.
- Manage customer invoicing, debtor follow-up, supplier reconciliations, payment preparation, timesheets, and leave records.
- Support job administration, costing, invoicing, reporting, and workflow visibility through Job Pak and Simpro.
- Improve administration workflows, reporting accuracy, process efficiency, and communication across the business.
- Maintain professional relationships with customers, suppliers, subcontractors, technicians, managers, finance stakeholders, and the wider ERL team.
About You
We are looking for someone who is accurate, organised, calm under pressure, solutions-focused, and confident leading a small team in a busy trade services environment. You will bring strong administration and finance experience, sound judgement, and a professional approach to confidentiality and communication.
- Experience in administration management, finance administration, office management, or a similar leadership role.
- Strong knowledge of accounts payable, accounts receivable, payroll administration, reconciliations, and month-end processes.
- Experience leading, supervising, or coordinating a small administration team.
- High attention to detail, strong communication skills, and the ability to manage competing deadlines.
- Confidence using accounting, job management, and Microsoft Office systems; Job Pak and Simpro experience would be an advantage.
- Experience in HVAC, refrigeration, construction, trade services, or a service-based business would be beneficial.
