Job Description
This role works closely with theatre staff, clinical suppliers, procurement, CSSD, Building and Facilities, and Finance Teams, and clinical engineering/biomedical teams to ensure all equipment is compliant, available, and appropriately recorded according to hospital and NZ health and safety standards. This is an ideal position for someone who enjoys logistics coordination, detailed record-keeping, and being part of a fast paced healthcare environment.
\nKey Responsibilities\n- \n
- Update and Maintain surgeons’ preference cards and provide administrative support . \n
- Manage implant ordering, receipting, and storage in conjunction with the senior nursing team & CSSD \n
- Coordinate the booking, delivery, tracking, and return of loaned or trial medical equipment. \n
- Provide clinical courier services, including transportation of biological materials and equipment to/from external sites \n
- Ensure timely and accurate delivery and management of essential equipment and materials \n
- Responsible for ensuring assigned company is kept tidy and clean – internal and external \n
- Ensure the assigned company vehicle is roadworthy, including advising Building & Facilities team where service and/or repair may be required \n
- Maintain accurate electronic and paper-based records in alignment with hospital policies and NZ regulatory expectations. \n
- Liaise with NZ suppliers and reps to arrange equipment, consumables, and documentation (delivery notes, loan agreements, service histories). \n
- Ensure all equipment is checked, clean, and compliant before use, and appropriately returned after procedures. \n
- Support theatres and clinical teams by confirming equipment availability for upcoming surgical lists. \n
- Monitor equipment condition and arrange servicing or repairs as needed. \n
- Assist with stock control, asset management updates, and administrative tasks for the Clinical Engineering/Biomedical team. \n
- Prepare usage reports, cost summaries, and audit documentation. \n
- Contribute to safety and quality processes, including incident reporting and compliance with the Health and Safety at Work Act (HSWA) requirements. \n

- Strong administration and organisational skills are essential. \n
- High attention to detail and ability to follow structured processes. \n
- Clean driving record free of demerit points, suspensions, or convictions (Essential) \n
- Confident communicator who builds positive relationships with clinical staff and suppliers. \n
- Comfortable working with inventory or asset tracking software (training provided). \n
- Experience in a hospital, medical device, supply chain, or logistics environment is highly beneficial. \n
- A proactive problem solver with the ability to work under time pressure, particularly during surgical list preparation. \n
- Understanding of NZ healthcare environments, sterile service practices, or medical devices (advantage but not required). \n
