The Opportunity
We are seeking a highly organised and detail-oriented HRIS & Payroll Onboarding Specialist to support the global implementation of our new Human Resources Information System (HRIS) and payroll platform. This is a fixed-term role for approximately three months, responsible for ensuring employee data is accurately prepared, validated, and migrated while supporting a smooth transition for employees, managers, and stakeholders across multiple countries.
Working closely with the People & Culture, Payroll, Finance, IT, and implementation teams, you will play a critical role in delivering a successful global rollout by coordinating onboarding activities, maintaining data quality, supporting testing, and assisting employees throughout the implementation process.
This role is 3 months fixed-term in length, full time (40 hours a week).This opportunity is based in our fully renovated Auckland office. We have a hybrid arrangement of Mondays, Wednesdays and Fridays in office. Tuesdays and Thursdays are work from home.
What You'll Do
HRIS and Payroll Implementation
- Support the end-to-end onboarding and implementation of the new global HRIS and payroll platform.
- Coordinate onboarding activities across multiple countries and business units.
- Work closely with the implementation partner to ensure project milestones are achieved.

Track implementation progress and proactively identify risks or issues.
Data Management
- Prepare, cleanse, validate, and reconcile employee and payroll data prior to migration.
- Ensure employee records are complete, accurate, and compliant with company standards.
- Assist with data imports, validation exercises, and system testing.
- Investigate and resolve data discrepancies in partnership with Payroll and People & Culture teams.
Employee Onboarding and Support
- Guide employees through the transition to the new system.
- Support employees with account activation, profile completion, and system access.
- Respond to employee enquiries regarding the new HRIS and payroll platform.
- Escalate complex issues to the appropriate implementation or technical teams.
Testing & Quality Assurance
- Participate in User Acceptance Testing (UAT) for HR and payroll processes.
- Execute test scripts and document outcomes.
- Identify defects and work with project stakeholders to resolve issues before go-live.

Assist with payroll parallel testing and validation where required.
Documentation and Training
- Develop user guides, process documentation, and onboarding resources.
- Assist with creating training materials for employees and managers.
- Deliver basic system training sessions and demonstrations where required.

Maintain implementation documentation throughout the project.
Project Coordination
- Coordinate implementation activities with internal stakeholders and external vendors.
- Monitor project tasks and ensure deadlines are met.
- Provide regular progress updates to the project team.
- Support change management activities to encourage successful adoption of the new platform.
What You'll Bring
- Previous experience implementing or supporting an HRIS or payroll system.
- Strong understanding of HR administration and payroll processes.
- Exceptional attention to detail and data accuracy.
- Experience working with large datasets, including data cleansing and validation.
- Excellent organisational and project coordination skills.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced environment.

Advanced Microsoft Excel skills.
- Experience implementing platforms such as Rippling, BambooHR, Workday, HiBob, SAP SuccessFactors, or similar HRIS solutions.
- Experience supporting payroll implementations across multiple countries.
- Understanding of HR compliance and employment data requirements.
- Experience working with implementation partners or software vendors.
- Knowledge of change management principles.
