Based in Ngāruawāhia or surrounding areas, this is a pivotal role responsible for coordinating administrative, financial, and operational support functions that underpin successful contract delivery. You’ll be a key team player, working across job management systems, customer interactions, reporting, and subcontractor coordination to ensure everything runs smoothly and efficiently. This role also offers the opportunity to contribute to quality auditing and contract improvement initiatives. Key Responsibilities Oversee end of month processes, prepare claim and report documentation Act as a point of contact for customer queries Monitor compliance with response timeframes and reporting requirements Process and maintain all contract documentation including variations, quotes, and notices Assist with contract and tender documentation, including formatting and submission Prepare meeting agendas, record minutes, and track action times Assist with debtors administration, including invoicing support and follow ups Champion and manage job workflows using MS Dynamics and AWM Support the administration of health and safety requirements across all jobs Provide general support to delivery teams, including coordination of phones, passwords, fuel cards, and day to day operational needs Important Skills You’re a motivated and detail-oriented professional who thrives in a fast-paced environment. You’ll also have: Minimum 5 years’ experience in contract administration Experience working with SharePoint, including document management and collaboration, would be beneficial High level of proficiency in MS Office suite Proven experience in building contract claims and invoicing Be a confident communicator and enjoy working with a wide variety of customers Excellent organisation skills along with the ability to prioritize tasks and meet deadlines Strong interpersonal skills and confidence in building and maintaining relationships at all levels Our Organisation We are committed to a safe working environment for everyone - all successful applicants will be required to undertake a pre‑employment drug test, medical and a Ministry of Justice check prior to starting employment.
