Clinical Administrator – Older Adult Mental Health Team Location: Takapuna Employment type: Permanent Work package: 1 FTE – 40 hours per week Schedule: 8.00 am – 4.30 pm About us Medical Health Services for Older Adults (MHSOA) provides a comprehensive service to people over the age of 65 years and comprises an inpatient facility and community mental health teams covering the North Shore, Rodney District and West Auckland. MHSOA provides assessment, treatment and support to service users who have: psychiatric disorders, dementia with behavioural and psychological complications, psychiatric complications of a physical illness associated with ageing. The MHSOA team is part of the Division of Specialist Mental Health & Addiction services. About the role Make a Difference Every Day. We are seeking a highly organised and proactive Clinical Team Support Administrator to join our MHSOA team. In this pivotal role, you will provide comprehensive administrative and reception support to multidisciplinary mental health teams caring for older people across the community. As the first point of contact for many service users, whānau, clinicians, and community partners, you will play a key role in ensuring our services run smoothly and efficiently. Responsibilities Providing professional reception and telephone support Processing referrals and maintaining accurate service user information Managing clinical correspondence, reports, and documentation Supporting clinical staff with appointment coordination and scheduling Maintaining electronic and paper‑based records in line with privacy requirements Managing team email inboxes and responding to enquiries Taking meeting minutes and coordinating meeting logistics Supporting onboarding of new staff, including IT access and equipment setup Assisting with roster administration and financial processes Supporting Mental Health Act administrative processes Coordinating fleet vehicle bookings and administration Providing general administrative support across MHSOA teams About You Experienced, motivated and customer‑focused individual who enjoys working with a multidisciplinary team Warm and outgoing personality who takes pride in making people feel welcome and valued Previous experience working within the health care sector is preferred but not essential Exceptional computer skills and proficiency with MS Office applications Eye for detail, accuracy and integrity; highly organised and able to prioritise tasks Full training is provided for the operation of the relevant Waitemata databases and systems Training and Development We work as a cohesive multidisciplinary team with a strong client focus.
