Both brands operate independently and specialise in supplying FMCG goods across various retail and wholesale channels, further expanding our presence and capability in the consumer products sector. Position Overview The Operations Administrator plays a key role in supporting the day‑to‑day administration and operational functions of Dutch Rusk. This position is responsible for ensuring system accuracy, maintaining administrative processes, supporting customer and supplier requirements, and assisting with the smooth running of the business. This is a hands‑on role that requires strong attention to detail, excellent organisational skills, and the ability to work across multiple areas of the business. The successful candidate will be comfortable working within established systems and processes while demonstrating initiative and a willingness to support wherever required. Key Responsibilities Product & System Administration Create and maintain product records within company systems. Upload and update product information and images on the company website. Ensure product data remains accurate and up to date. Maintain overall system accuracy and data integrity. Assist with general system administration tasks as required. Accounts & Finance Administration Process supplier invoices accurately and efficiently. Assist with weekly payment runs and direct debit processing. Support monthly supplier payment administration. Complete bank reconciliations and investigate discrepancies. Generate and distribute customer statements. Assist with general accounts administration and reporting tasks. Customer Account Administration Set up new customer accounts within company systems. Ensure all customer information and documentation is complete. Process direct debit and payment arrangements. Support customer onboarding activities. Maintain accurate customer records. Customer Service & Operational Support Respond to customer enquiries via phone and email. Provide copies of invoices and account documentation as required. Assist with pricing, billing, and account‑related enquiries. Support customers with product and order‑related questions. Escalate issues where appropriate and ensure timely follow‑up. Track and monitor customer deliveries. Follow up on delayed, lost, or damaged shipments. Lodge courier claims and manage claim resolutions. Communicate delivery updates to customers and internal teams. Assist with resolving logistics‑related issues. General Administration & Operational Support Follow company processes and procedures accurately. Support continuous improvement of administrative processes. Identify issues and escalate concerns when required. Assist other departments during busy periods as needed. Undertake additional administrative and operational duties as required. Skills & Experience Previous experience in an administration, operations support, customer service, or office‑based role. Strong attention to detail and high level of accuracy. Good computer skills and confidence using business systems. Strong organisational and time‑management skills. Ability to manage multiple tasks and priorities. Excellent written and verbal communication skills. Positive attitude and willingness to learn. Experience working with inventory or ERP systems. Experience with accounts administration or reconciliations. Experience within wholesale, distribution, logistics, or FMCG environments. Personal Attributes Reliable and dependable.
