On Road Operations Coordinator – AAT Kings 6-Month Contract | Auckland CBD About the Role AAT Kings is looking for an organised, systems-savvy Operations Coordinator to join our On Road Operations team on a 6-month contract. This is a hands-on coordination role sitting at the heart of tour delivery you'll be the engine behind ensuring our Travel Directors across Australia and New Zealand are fully prepared, well-equipped, and supported from departure through to return. You'll own the administration of pre-trip documentation, manage Travel Director logistics, process wages and advances, and act as a key liaison across reservations, suppliers, finance, and guest relations. Alongside day-to-day operations, you'll also play an active role in identifying smarter ways of working streamlining processes, improving our use of tools like Airtable and Smartsheet, and contributing to automation and systems improvement initiatives. What You'll Be Doing Preparing and distributing all pre-trip documentation for Travel Directors across Australia and New Zealand Coordinating TD relocation flights and accommodation Communicating road updates, late bookings and trip amendments in a timely and accurate manner Processing Travel Director wages, trip advances and commissions Maintaining and updating operational platforms including Microsoft Teams, Smartsheet and Airtable Reviewing and processing Specific Needs applications Arranging and confirming guest airport transfers Supporting Travel Directors during crisis or emergency situations Reporting on guest feedback questionnaires and investigating complaints with suppliers and guest relations Identifying and implementing process improvements and automation opportunities across the operations function Contributing to the testing, documentation and rollout of new systems and workflows Developing and maintaining SOPs and user guides What We’re Looking For Strong administrative and coordination skills with excellent attention to detail Solid experience with Microsoft Office and digital collaboration tools (Teams, Airtable, Smartsheet or similar) Ability to interpret operational data and identify improvement opportunities Sound knowledge of Australian and New Zealand geography Proactive, solutions-focused mindset with a genuine interest in continuous improvement Excellent communication and time management skills, with the ability to juggle competing priorities Knowledge of AAT Kings products is highly desirable Why Join Us Travel discounts for you, your family, and friends.
