We're looking for a Project Administrator who enjoys variety, thrives on being organised, and gets satisfaction from helping projects run smoothly. This isn't a role where you'll spend your day behind a reception desk. You'll work alongside Project Managers, Engineers, Supervisors and site teams, supporting multiple live projects across the Auckland region. From project administration and financial support through to mobilisation, compliance and site coordination, you'll play an important role in helping projects run safely and efficiently. One day you might be processing project receipts and dockets, assisting with purchase orders, maintaining project documentation or coordinating project meetings. The next you could be visiting a project site, supporting project mobilisation, assisting with onboarding and compliance activities or helping ensure documentation is in place before work begins. What you'll be doing You'll support multiple live projects by: Provide day-to-day administrative support across multiple live projects. Prepare, issue and maintain project documentation. Maintain electronic project filing systems and document control. Process project receipts, dockets and supplier documentation. Assist Project Managers with purchase orders and project financial administration. Coordinate project meetings, minutes and follow-up actions where required. Support project mobilisation and demobilisation activities. Upload and maintain quality, health, safety and environmental documentation. Coordinate project onboarding and compliance requirements. Visit project sites across Auckland to provide hands‑on administrative support. Support the smooth and efficient operation of site offices, helping project teams maintain effective daily rhythms and ways of working. Identify opportunities to improve administrative systems and processes that support project delivery. About you You may have experience in project administration, construction, hospitality management, logistics, events or another fast‑paced environment where you've needed to juggle competing priorities while providing outstanding service. More importantly, you're someone who enjoys helping others succeed and takes pride in keeping things running smoothly. You'll also bring: Excellent attention to detail The ability to manage competing priorities across multiple projects A genuine customer service mindset Confidence communicating with both office and site teams The ability to quickly learn new systems Initiative, adaptability and a willingness to pitch in wherever needed A full New Zealand driver's licence You'll enjoy working in a fast‑paced environment where organisation, attention to detail and compliance are just as important as providing great support to project teams. Construction or infrastructure experience would be an advantage, but it's not essential. We're more interested in finding someone with the right attitude, initiative and willingness to learn.
