We’re looking for a highly organised and proactive Executive Assistant to provide high‑level executive support to the General Manager, New Zealand Government Procurement. This is a trusted role requiring excellent judgement, discretion, and relationship management skills. You’ll work closely with the General Manager to ensure priorities are managed effectively, stakeholder relationships are maintained and the branch operates smoothly. This will cover: Providing proactive and efficient diary, inbox, and correspondence management. Supporting the General Manager to manage competing priorities, commitments, and key deliverables. Preparing briefings, presentations, meeting materials, and other documentation. Coordinating branch leadership activities, meetings, workshops, and events. Managing travel, financial processes, and administrative requirements. Building strong relationships across MBIE, with Ministers' offices and external stakeholders. Exercising discretion and sound judgement when dealing with confidential and sensitive information. Acting as a key communication link between the General Manager, branch staff, and stakeholders. Contributing to the wider Executive Assistant community through collaboration, knowledge sharing, and mutual support. About the Team The New Zealand Government Procurement branch plays a key role in helping government agencies achieve better public value through procurement by providing leadership, guidance, systems and services that support effective procurement across the public sector. The branch develops procurement policies, rules, guidance and solutions that help government agencies procure goods and services effectively, responsibly and efficiently. It also oversees All-of-Government contracts and drives improvements across the public sector procurement ecosystem. Through its work, New Zealand Government Procurement supports better outcomes for New Zealanders, businesses and government. You’ll join a supportive and high-performing team with a strong focus on collaboration, continuous improvement and delivering meaningful outcomes across the public sector. Skills and Experience Required You are a proactive and trusted Executive Assistant who excels at building strong relationships, anticipating needs and keeping things running smoothly. You are highly organised, comfortable managing competing priorities, and take pride in delivering exceptional support and service in a busy, dynamic environment. A proven track record of relevant experience as an Executive Assistant or executive support role. Demonstrated experience supporting senior leaders with complex and competing priorities. A friendly, positive and proactive approach, with a willingness to learn and make the role your own. Excellent organisational skills, with the ability to anticipate needs, proactively manage workflows, and effectively prioritise competing demands. Ability to exercise sound judgement and discretion when handling confidential and politically sensitive matters. Wide ranging knowledge of administration systems and processes. Knowledge and understanding of working within a government agency or complex organisational environment. Excellent relationship management skills and the ability to build trust and credibility with senior leaders and stakeholders at all levels. Strong stakeholder management skills and the ability to work collaboratively across teams and organisations. Strong written and verbal communication skills. A positive, adaptable and solutions-focused approach. Excellent Microsoft Office skills, particularly Outlook, Word, Excel, and PowerPoint. Must have the legal right to live and work in New Zealand.
