Job Description

Team Administrator – Trade and Economic Group The Ministry of Foreign Affairs and Trade invites applications for a Team Administrator to support the Trade Policy and Negotiation Division. The role is based in Wellington and will be on a fixed‑term contract from August 2026 to May 2027. Key Responsibilities Provide end‑to‑end administrative support to enable smooth team and office operations Manage diaries, inboxes, correspondence, mail, reporting and basic research Coordinate meetings, events, workshops, room set‑up, catering and documentation Maintain schedules, rosters, databases, websites, intranet and shared mailboxes Arrange domestic and international travel, visas, passports and travel reporting Track travel plans and expenditure; support reconciliations and cost recovery Manage purchasing, invoices, approvals, budgets, variance reporting and credit cards Support recruitment, onboarding, training liaison and staff records maintenance Coordinate OIA, Parliamentary, Ministerial requests, policy reviews and compliance responses Drive continuous improvement, manage small projects and contribute to knowledge sharing and health & safety responsibilities Qualifications & Experience Strong customer focus with outstanding interpersonal and communication skills Excellent attention to detail and strong organisational skills with the ability to self‑manage and use initiative Flexibility and adaptability in a reactive environment Technical proficiency using the MS Office suite Understanding of the Treaty of Waitangi/Te Tiriti, Te Reo Māori and Māori customs and protocols is beneficial Prior experience in a similar administrative or corporate support role is preferred Employment Details Location: Wellington, New Zealand Contract type: Fixed‑term (August 2026 – May 2027) Salary range: $60,103 to $76,798 total remuneration, inclusive of a 3.5% KiwiSaver employer contribution. Approximately $66,781 will be considered depending on experience. Eligibility Applicants must be a New Zealand citizen or Permanent Resident and must be able to obtain and maintain a Confidential security clearance.
