To be the best. We're looking for an organised and proactive Operations Administrator to join our Palmerston North team. Reporting to the Central Region Manager, you'll play a vital role in supporting the day-to-day operation of our busy freight depot. This is far more than an administration role – you'll work alongside our operations team to coordinate freight movements, support dispatch, manage fleet compliance, assist with customer enquiries, and help keep the branch running efficiently every day. Your work supports every part of the operation, from coordinating linehaul departures and managing fleet compliance to supporting dispatch, customer service, and operational planning. Your attention to detail and ability to stay one step ahead help ensure freight moves safely, efficiently, and on time. Working closely with the Central Region Manager and operational teams, you'll become a trusted part of the branch, helping solve problems, support the team, and deliver the high level of service Mainstream is known for. The key responsibilities of this position are: Support the day-to-day administration of Palmerston North operations Assist with dispatch activities, freight coordination, and operational planning Coordinate linehaul departures and communicate with branches to ensure service schedules are achieved Coordinate fleet servicing, maintenance schedules, COFs, RUCs, and compliance documentation Maintain training records and monitor staff compliance requirements Coordinate Health & Safety administration, meetings, incident reporting, and corrective actions Manage POD follow-up, operational documentation, and daily reporting Coordinate CHEP and Loscam equipment, including pallet swaps and de-hires Support customer enquiries and operational issue resolution Assist with recruitment administration, onboarding, and general branch support Work collaboratively with drivers, dispatch, warehouse staff, and operational teams to deliver excellent customer outcomes Provide practical operational support during busy periods whenever required To be successful in this position, you will have the following skills and experience: Previous experience in transport, freight, logistics, or operational administration Strong organisational skills with excellent attention to detail Ability to manage multiple priorities in a fast-paced operational environment Excellent communication and relationship-building skills Experience coordinating operational activities or supporting freight operations is highly regarded Good computer skills, including Microsoft Office and the ability to learn operational systems A proactive approach with strong problem‑solving skills Commitment to Health & Safety and operational compliance Ability to work independently while supporting a busy team A positive attitude and willingness to roll your sleeves up and help wherever needed What we offer A varied, hands‑on role where no two days are the same Opportunity to work alongside an experienced operations team in a fast‑paced freight environment Be part of a proudly Kiwi‑owned and operated transport and logistics business Supportive team culture with ongoing learning and development opportunities Stable, full‑time employment with a growing national company A workplace that values teamwork, safety, and continuous improvement If you're organised, enjoy problem‑solving, and want to play an important role in keeping freight moving, we'd love to hear from you.
