Job Description
Executive Assistant – Hawkes Bay Fallen Soldiers Hospital Permanent, Full‑Time (80 hours per fortnight, 1 FTE) Support senior leaders, influence strategic delivery, and drive smarter ways of working across a high‑performing executive environment. About the Role As an Executive Assistant, you’ll provide high‑level executive, business and secretariat support to senior leaders within Health New Zealand – Te Whatu Ora Te Matau a Māui. This includes proactive diary and email management, preparing documentation and briefings, coordinating meetings and events, supporting strategic priorities, and acting as a trusted point of contact for internal and external stakeholders. You will also act as a technical expert and strategic enabler, driving digital efficiencies, supporting cross‑functional projects, improving systems and processes, and ensuring leaders have the right information at the right time. You will regularly triage and prioritise sensitive matters, exercise sound judgement, and maintain the highest levels of confidentiality. You’ll work collaboratively as part of the Executive Support team and will occasionally provide cover for colleagues supporting other HSEG leaders. Responsibilities Provide high‑level executive, business and secretariat support to senior leaders Manage diaries, emails and scheduling Prepare documentation, briefings and reports Coordinate meetings, events and travel arrangements Support strategic priorities and initiatives Act as a trusted contact for internal and external stakeholders Drive digital efficiencies and improve systems and processes Triage and prioritise sensitive matters and maintain confidentiality Collaborate with the Executive Support team and provide ad‑hoc cover for other leaders Qualifications & Experience Previous experience as an Executive Assistant or senior administrative support professional Excellent written and verbal communication skills; ability to engage confidently at all levels, including health sector leaders Highly proficient with IT tools (MS Office, Adobe, PALs and other digital tools) Demonstrated ability to use technology to streamline workflows, improve reporting and enhance efficiency Strong organisational and prioritisation skills, able to anticipate needs and manage competing demands Commitment to Te Tiriti o Waitangi and experience integrating Te Tiriti principles in practice High attention to detail, confidentiality, composure and professionalism Personal attributes: calm and solutions‑focused under pressure, excellent judgement, proactive, innovative, self‑aware and committed to professional growth We Welcome Applicants From Our diverse Māori, Pacific, disabled and rainbow communities.
