Overview Business Services Administrator & Executive Assistant to General Manager – New Zealand, AIG Insurance New Zealand Limited, Auckland. Full‑time, on site. Role supports internal colleagues across Corporate Real Estate, Facilities Management, Corporate Services, Corporate Security, Workplace Health and Safety and onboarding/off‑boarding services, providing best‑in‑class workplace experience. Key Accountabilities Real Estate Services: Property and facility management, workplace health & safety, project and move management, space planning, and critical infrastructure management. Financial: Annual budget support, cost‑saving identification and financial management. Corporate Services: A/V equipment, document & record management, fleet, mail, reception, mobile telephony, and other service portfolios. Workplace Health & Safety – Environment: NZ Health & Safety Committee member; First Aid and Fire warden liaison; operational sustainability initiatives. Corporate Security: Access control, CCTV, safety measures, incident reporting to Global Security. Business Continuity: Training, exercise plans, collaboration with Business Resiliency Team, support local IMT during incidents. Onboarding/Off‑boarding Services: Process support with HR+IT, IT accessories procurement, and stationery account usage. Sourcing and Procurement: Strategic sourcing, legal contract review, vendor selection, contract negotiation, renewals. Third‑Party Management: Governance process adherence. Compliance & Audit: Process compliance, regulatory examinations and internal/external audit closure. Travel: Point of contact for NZ travel, monthly travel request consolidation. Executive Assistant Duties: Executive scheduling, calendar management, agenda preparation, travel logistics, expense reconciliation, confidentiality, event planning, team communication. Qualifications Proven administrator experience in Corporate/Business Services or Corporate Real Estate. Excellent time management, mult‑tasking and prioritisation. Attention to detail and problem‑solving. Strong organisational and planning skills in fast‑paced environment. Creative mindset and improvement suggestions. Excellent verbal and written communication and interpersonal skills. Competent in Microsoft Office (Excel, PowerPoint, Outlook). Ability to operate in a matrix organisation. Self‑starter, flexible, adaptive and first‑point‑of‑contact attitude. Calm under pressure and conflict‑management skills.
