Job Description

Halter is looking for a Receptionist in Auckland who will be the first face guests see and manage the front‑door experience. About the Role Your main focus will be visitor management, mail handling, meeting room coordination, new‑starter onboarding, building access and internal communications. You will work closely with the Operations team and provide high‑visibility support for a 300‑person office. What You’ll Do Front‑of‑house & visitor experience Maintain a visitor schedule/tracker to know who arrives when. Send pre‑arrival communications (directions, parking, Wi‑Fi, expectations). Build a VIP welcome checklist for board members, investors and key customers. Own the visitor feedback loop. Mail & Deliveries Sort mail, sign for packages and distribute them. Coordinate couriers so parcels are tracked and returned promptly. Meeting Room Coordination First responder for room & AV troubleshooting and quick resolution. Reset rooms between meetings (screens off, whiteboards cleared, chairs arranged, tidy space). Flag recurring room issues to Office Ops for system‑level fixes. New Starter First‑Day Experience Coordinate desk setup, building access and welcome pack. Ensure a seamless physical "day one" experience for new staff. Building Access & Security Passes Issue and manage access cards for staff and visitors. Maintain the access log and liaise with building management on any issues. Deactivate passes for departing employees. Internal Communications & Office Signage Keep screens/posters in common areas current. Own way‑finding signage for visitors navigating the office. You’ll do well here if you Spot unmet needs before anyone asks. Take pride in the experience you create, and detail matters to you. Stay calm and warm when the office is busy. Communicate clearly and close the loop. Hold a high standard whether observed or not. Are hungry, ambitious and eager to learn in a high‑growth environment. Who We're Looking For Experience in front‑of‑house, reception, administration or customer‑facing role. Exceptionally organized with ability to manage multiple moving pieces. Warm, confident communicator comfortable with all levels. Tech‑savvy and quick to learn new tools. Self‑motivated and internally driven. Care about people and the overall experience you create.
