Job Description
Administrator – Hawkes Bay Fallen Soldiers Hospital Full‑time, on site, 2 permanent positions available. This varied and rewarding role directly supports the delivery of essential mental health services. About the Role As a Team Administrator you will play a key role in supporting the day‑to‑day operations of our Mental Health & Addiction Services. You will provide high‑quality administrative and reception support, ensuring patients, whānau, clinicians and stakeholders are supported in a professional and welcoming environment. Key responsibilities include managing referrals, maintaining patient records, coordinating appointments, typing clinical letters, handling enquiries and supporting clinical teams. Your work will help ensure services run smoothly and efficiently, contribute to accurate data management, support quality‑improvement initiatives and provide reliable administrative support that underpins the delivery of safe, timely and person‑centred care. Responsibilities Provide high‑quality administrative and reception support. Manage referrals and maintain accurate patient records. Coordinate appointments and support clinical team scheduling. Type clinical letters and other documentation. Handle enquiries from patients, whānau and stakeholders. Ensure accurate data management and contribute to quality‑improvement initiatives. Support the delivery of safe, timely and person‑centred care. Qualifications At least 3 years of experience in an administrative or similar role. Strong customer‑service focus and a professional, approachable manner. Excellent organisational skills with the ability to prioritise and manage multiple tasks. Strong Microsoft Office skills and confidence working with digital systems. Experience in typing clinical letters. Strong attention to detail and accuracy, particularly when handling data and documentation.
