The Northland Corridor Warkworth to Te Hana - Ara Tūhono project will enhance connectivity, improve safety and support regional growth, leaving a lasting legacy for future generations.*****The Opportunity**This is an exciting opportunity to join a dynamic organisation delivering a major infrastructure project. As Executive Assistant & Business Coordinator, you will work closely with the Chief Executive Officer and Management Team, providing high-level executive support,, effective administration and seamless organisational operations.Acting as a central coordination point across the organisation, you support leadership activities, office administration and business operations. You'll play a key role in helping create a positive, professional and well-organised workplace as the company mobilises and grows.From managing schedules and coordinating Board and leadership meetings to maintaining key organisational records, overseeing office administration and supporting key business initiatives, you will contribute to the smooth and effective operation of the organisation.**Key responsibilities:*** Provide proactive executive support to the Chief Executive Officer and broader administrative support to the Management Team.* Coordinate Board, committee and leadership governance activities, including meeting scheduling, agenda preparation, minute-taking, reporting and action tracking.* Maintain organisational records, registers and corporate documentation, ensuring accuracy, accessibility and compliance with organisational requirements.* Serve as custodian of the organisation’s document library and SharePoint environment, ensuring records are effectively managed, controlled and maintained.* Coordinate office administration, workplace facilities and business support services to support a professional and efficient working environment.* Support onboarding and mobilisation activities for employees, contractors, consultants and visitors, ensuring a seamless and positive experience.* Assist with stakeholder engagement activities, workshops, project events and internal communications.* Contribute to continuous improvement initiatives and help establish efficient business processes as the organisation grows.**Required Skills and Competencies*** Relevant experience in executive support, governance coordination, office administration or a related business support function.* Strong proficiency across Microsoft Office 365 applications, including Outlook, Word, Excel, PowerPoint and Teams.* Experience using SharePoint or similar document and records management systems, with the ability to maintain accurate and well-controlled information repositories.* Excellent organisational, communication and stakeholder management skills, with the ability to manage competing priorities, maintain confidentiality and deliver high-quality support in a fast-paced environment*As a company that values diversity as a source of talent, we work to foster an inclusive environment that promotes respect, belonging and engagement so that all people can participate on an equal opportunity basis.
