About the Role The primary purpose of the Executive Assistant is to provide high quality, timely, one-to-one executive support to the Executive Regional Director, including dealing with matters of a highly confidential and sensitive nature. The Executive Regional Director is a second-tier role within Health New Zealand – Te Whatu Ora reporting to the Chief Executive and is part of its Executive Leadership Team. About you You're a highly skilled, organised and experienced Executive Assistant with the ability to innovate, think ahead/pre-empt what the Executive Regional Director may need, establish priorities, and meet deadlines. You will also have proven experience creating positive and productive relationships with a broad range of stakeholders. You'll be responsible for actively managing critical administrative functions for the Executive National Director, including diary management, scheduling, travel booking, meeting preparation and minute taking, coordinating administrative activities, and responding to correspondence. You will bring You will have real-world experience in a Executive Assistant role, your calm and flexible approach to work will help you build strong and trusted relationships with internal and external stakeholders. You'll be someone who can anticipate the ‘what if' question and the trends and challenges, driving proactive and innovative solutions. It is also important that you have: Previous experience in a role providing managerial support to a Chief Executive or tier two leader in a large and complex Government department. Interpersonal skills to support managing relationships at all levels, including supporting senior leaders who lead at the political interface. Demonstrated ability to work in a complex multi-stakeholder environment and to know when to seek assistance. Demonstrated ability to manage relationships at all levels, navigating complex environments with discretion and insight. High level organisational skills with demonstrated precision and thoroughness in all aspects of the work with a high level of accuracy and confidentiality, and the ability to manage deadlines in a high-volume environment. Demonstrated ability to work in a team with a flexible and collaborative approach, working to and encouraging a shared purpose. Advanced computer skills; MS Office, databases and the inclination to learn.
