Job Description

Join Giltrap Group as a Vehicle Administrator! As a Vehicle Administrator, you will be responsible for managing the administration of vehicle sales, stock control, and compliance processes. You will work closely with sales, finance, and management teams to ensure vehicles are processed accurately and efficiently from purchase through to delivery. Your key responsibilities will include: Manage vehicle administration processes, including purchase orders, vehicle stock entries, and invoice processing. Process vehicle deals and maintain accurate records to support profitability reporting and stock control. Coordinate vehicle registration, ownership transfers, relicensing, and licence plate changes in line with NZ regulations. Maintain accurate vehicle stock and compliance records across dealership systems. Liaise with sales, finance, and management teams to provide vehicle cost, stock, and delivery information. Monitor sales logs and dealership records to ensure all transactions are processed accurately and promptly. Respond to vehicle stock and chassis number enquiries and support daily operational requirements. Compile and distribute regular vehicle stock reports to stakeholders and management. About You Our ideal candidate is someone who has strong administrative skills, excellent attention to detail, and the confidence to build effective relationships across sales, finance, and operational teams. You should also have: Experience using dealership management systems and Microsoft Office. Knowledge of New Zealand vehicle regulations and compliance requirements. Strong communication and interpersonal skills. Exceptional attention to detail and accuracy. Excellent organisational and time management abilities.
