Job Description

Team Administrator – Renal(Team Administrator Renal Hawkes Bay Fallen Soldiers Hospital, Permanent/Full-Time, 80 Hours Per fortnight, 1 FTE) We are seeking a proactive and organised professional to support the delivery of specialist renal services by providing high-quality administrative and reception support to patients, whānau, clinicians and the wider healthcare team. The role involves being the first point of contact for many patients, creating a positive experience and ensuring the smooth coordination of clinics, referrals, patient records and day-to-day administrative functions in a busy outpatient environment. About the Team/Service/Location Our Renal Outpatients Team provides specialist assessment, treatment and ongoing support for patients with kidney‑related conditions across Hawke's Bay. Working closely with nurses, specialists, allied health professionals and administration colleagues, the team is committed to delivering high-quality care and improving health outcomes for our community. The position is based at Hawke's Bay Fallen Soldiers' Memorial Hospital and offers a supportive, collaborative environment that values professionalism, respect and continuous improvement. Responsibilities Act as the primary reception point, greeting patients and whānau with professionalism and empathy. Coordinate clinic appointments, referrals and patient records to support safe, efficient and patient‑centred care. Perform general administrative tasks such as data entry, file management and preparation of clinical documentation. Maintain confidentiality and uphold cultural safety standards in line with Te Tiriti o Waitangi principles. Prioritise tasks and manage competing demands while ensuring accuracy and attention to detail. Collaborate with clinicians and allied health professionals to support the delivery of specialist renal services. Qualifications Previous administration experience, preferably in a healthcare setting. Strong computer and data‑entry skills. Excellent communication and interpersonal skills, with a customer‑focused approach. Ability to prioritise tasks, manage competing demands and maintain accuracy. Professional, reliable and adaptable attitude with an emphasis on detail. Commitment to confidentiality, cultural safety, equity and the principles of Te Tiriti o Waitangi.
