Job Description

Kaiwhakataka | Administrator (Trust & Property) Based in Rotorua. Permanent full time. 5 weeks annual leave. We are seeking a professional administrator to provide top–level support to our Trust and Property team and to contribute to the protection and enhancement of Māori land. About the Role In this role you will provide administrative excellence while supporting trustee services and ensuring the whenua is protected and enhanced for future generations. Responsibilities Supporting the Team: Assist with various administrative tasks to ensure smooth operations. Meeting Coordination: Attend owner and trustee meetings, set up meeting rooms/Zoom, take minutes and distribute meeting materials. Preparation for Hearings: Help prepare materials for owner and trustee meetings as well as Māori land court hearings. Invoice Processing: Handle the processing of invoices for payment efficiently. System Updates: Keep core administration systems updated in line with processes. Professionalism: Provide reception duties, including welcoming visitors and answering incoming calls politely. Qualifications and Experience Experience: At least 1 year of proven experience in a customer service or administration role within a medium to large organisation. Team Player: Strong team player who seamlessly collaborates across the team to support core activities. Communication Skills: Ability to build relationships internally and externally through open and clear communication. Organisational Skills: Excellent time management and organisation skills. Attention to Detail: Technically savvy with a keen eye for detail and confidence to navigate multiple systems. Technical Skills: Good working knowledge of Microsoft Office (Outlook, Word, Excel). Rural Sector Knowledge: Experience or understanding of the rural sector would be beneficial. Language & Culture: Ability to practise correct pronunciation of Te Reo Māori (essential). Understanding and living Tikanga Māori on a day-to-day level, e.g., removing shoes before entering a whare, washing hands at the urupa, and not sitting on tables (essential).
