Job Description
We are looking for a capable and detail-oriented Finance & Administration Specialist to support our New Zealand office. This is a broad, hands‑on role responsible for managing day‑to‑day finance and accounting operations, while also serving as the key onsite contact for office administration. The successful candidate will play an important role in ensuring accurate financial reporting, statutory compliance, smooth office operations, and effective support for the local team. This role is ideal for someone who is proactive, organised, and comfortable working independently across both finance and administration responsibilities. Office Hours: Mon‑Fri, 830am‑5pm Location Penrose, Auckland Key Responsibilities Finance & Accounting Maintain the full set of accounts, including General Ledger, Accounts Payable, Accounts Receivable, Fixed Assets and bank reconciliations. Prepare monthly management accounts and supporting schedules accurately and on time. Perform month‑end and year‑end closing activities in line with reporting timelines. Prepare balance sheet reconciliations and follow up on outstanding items. Manage daily cash receipts, payments and bank reconciliations. Prepare and file GST returns and ensure compliance with Inland Revenue (IRD) requirements. Support PAYE, KiwiSaver and other statutory reporting requirements, as applicable. Assist with budgeting, forecasting and cash flow monitoring. Maintain the fixed asset register and depreciation schedules. Perform inventory reconciliations and support inventory valuation and landed cost accounting. Liaise with external auditors, tax advisors, banks and other professional service providers. Ensure compliance with New Zealand Financial Reporting Standards (NZ IFRS), tax regulations and internal policies. Support internal and external audits by preparing schedules and required documentation. Help develop, implement and maintain standard operating procedures (SOPs) for finance and accounting processes. Administration Provide day‑to‑day onsite administrative support to the local team. Act as the key onsite contact for general office administration. Coordinate office supplies, facilities and basic vendor arrangements, including cleaners, utilities and maintenance. Provide general office support such as: managing incoming mail and deliveries coordinating couriers assisting with new employee office set‑up Help ensure the office runs efficiently and smoothly on a daily basis. Other Duties Carry out any other duties as assigned by the company from time to time. Requirements & Qualifications Bachelor’s degree in Accounting, Finance or a related discipline. CA ANZ, CPA Australia or equivalent professional qualification preferred (completed or in progress). Experience At least 5 years of accounting experience. Experience in trading, wholesale, distribution or inventory‑based businesses is preferred. Strong knowledge of New Zealand GST, PAYE, KiwiSaver and statutory reporting requirements. Experience with full‑set accounts, reconciliations and month‑end closing. Experience using ERP systems such as SAP, Microsoft Dynamics 365, Oracle, NetSuite or similar. Skills & Attributes Strong accounting and financial reporting knowledge. Advanced Microsoft Excel skills. High level of accuracy and attention to detail. Well‑organised, responsible and able to manage multiple tasks effectively. Able to work independently and take ownership of assigned responsibilities. Strong communication and coordination skills. At least conversational Mandarin required due to frequent liaison with HQ in China. Hands‑on, adaptable and willing to support both finance and office administration functions. #J-18808-Ljbffr
