Job Description
Office Administrator - 4 months fixed term Support clients, whānau and teams through accurate Family Portal administration, clear communication and practical programme support. He kōrero whakamārama mō tēnei tūranga | About the role We are looking for an organised and detail-focused Administrator to support the day-to-day administration of the AlayaCare Family Portal and provide practical support to the Better Day Engine programme. In this role, you will help ensure clients, whānau and nominated portal users are supported to access and use the Family Portal safely and confidently. What you’ll do Process Family Portal registration requests, including checking identity, consent and authority to access client information. Maintain accurate portal user records and client and whānau contact details in AlayaCare. Monitor, action and route portal-generated enquiries to the right team within agreed timeframes. Record and report portal activity, including registrations, active users and portal-generated contact volumes. Prepare and distribute portal registration materials, how-to guides and standard communications. Provide administration support to the Better Day Engine programme, including agendas, minutes, action logs, programme task updates and document formatting. Handle client and whānau information with discretion, privacy and confidentiality. Mōhou Ake | About you Proven administration experience, ideally in a health, community, customer service or contact-centre environment. High accuracy in data entry, record keeping and document management. Confident using Microsoft Office, Outlook and Teams; experience with Planner, SharePoint or client management systems would be an advantage. Clear understanding of privacy and confidentiality when handling personal and health information. Warm, professional communication style with clients, whānau and colleagues. Strong organisation skills, with the ability to prioritise tasks and manage multiple pieces of work. Proactive, reliable and comfortable following structured processes and templates.
