Job Description
Location Wellington, Kenepuru and Hutt Valley Hospitals – Permanent, Full time, Health New Zealand. About the Role The Outpatient Administration Team handles a broad range of key tasks including management of registration processes, referral lists, template creation, and scheduling of specialist assessments. The role provides central patient enquiry services, rescheduling and cancellation support, outbound call reminders, and front‑line customer service at the atrium reception. The purpose of this role is to deliver a patient‑focused registration and booking service to patients, general practitioners, and outpatient departments. Manage registration and referral lists. Create templates and schedule first specialist assessments. Provide a central patient enquiry service. Offer rescheduling/cancellation support and general information. Run outbound call reminder service in evenings. Deliver front‑line customer service at the main atrium reception. Support the Team Leader in designing new processes and quality improvement initiatives across District, Capital Coast, and Hutt Valley. Shifts run Monday to Sunday, 8:00AM–8:00PM, with flexible availability required. Salary band: $76,705 to $84,754, dependent on experience. About the Team / Service Location The team is diverse, fun, multicultural and hardworking, focused on the Patient Journey. It operates within the Booking Centre covering Radiology schedulers/admin, Booking Centre schedulers, CMU schedulers, and FoH. The main base is Capital Coast Wellington, with duties at other sites (Hutt Valley, Kenepuru) as required. About You Key attributes and qualifications include: Ability to take ownership, accountability and responsibility for the role. Intermediate Microsoft Office skills. Maintains patient and office confidentiality in line with the Privacy Act. Prior knowledge of patient management systems (desirable). Previous health environment experience (desirable). Integrity and fairness. Professionalism, customer service, and front‑line interaction skills. Time management and great listening skills. Good understanding of the English language.
