Job Description
Overview We’re looking for a highly organised Office Manager to join our Wellington office. This role focuses on the smooth day-to-day running of the Wellington office, with remote coordination support for Auckland and light Executive Assistant support to senior stakeholders. The role is suited to someone who takes ownership of office operations and ensures a professional, welcoming workplace for employees, visitors, suppliers and senior leaders. In addition to office management, you will support business leaders with diary coordination, travel, expenses and other key administrative activities as required. Responsibilities Manage day-to-day operations of the Wellington office, including facilities, supplies, visitors, and general workplace support. Provide remote office coordination support for the Auckland office. Act as a key point of contact for office-related queries, suppliers, building management and internal stakeholders. Coordinate office activities, meetings, events, visitors and workplace initiatives. Support facilities, procurement, health and safety and general office management processes. Assist with on-site Board meetings, office moves or workplace projects as required. Provide Executive Assistant and administrative support to senior stakeholders, including diary coordination, travel arrangements, expenses and credit card reconciliation. Build strong working relationships with APAC senior leaders, cross-functional teams, suppliers and external partners. Assist with wider business projects and team initiatives as required. Qualifications and Skills Experience supporting office operations, facilities or office management activities. Strong stakeholder management skills with the confidence to engage at senior levels. Discretion and professionalism in handling confidential information. High level of organisation and attention to detail; ability to manage competing priorities. Proficiency in Microsoft Office and collaboration tools (e.g., Outlook, Teams, document management systems). Proactive, can-do approach with a willingness to take ownership; strong organisational and multitasking skills. Ability to remain calm and responsive when priorities change.
