We are looking for an experienced Executive Assistant to provide exceptional support to one of our Executive Leadership Team (ELT) leaders and help enable effective leadership, decision-making and organisation-wide outcomes. As part of our connected Executive Assistant cohort, you will work collaboratively with fellow EAs, Executive Advisors and leadership teams to ensure executive offices run smoothly, efficiently and professionally. The opportunity This is a fast-paced and rewarding role where you will become a trusted partner to an ELT leader, providing proactive, high-quality support across calendar and inbox management, stakeholder engagement, meeting coordination and executive administration. You will anticipate needs before they arise, manage competing priorities with confidence, and build strong relationships across the organisation to help leaders stay focused on delivering strategic outcomes. Key Responsibilities Managing complex calendars, meetings and executive commitments Proactively managing inboxes, correspondence and action tracking Coordinating meetings, events, travel and executive logistics Preparing high-quality meeting materials and supporting governance processes Acting as a key point of contact for internal and external stakeholders Maintaining confidential information with discretion and professionalism Identifying opportunities to improve processes and ways of working Building strong partnerships with Executive Advisors, leadership teams and fellow Executive Assistants Supporting effective information flow and communication across business groups Monitoring risks, priorities and emerging issues on behalf of your executive leader The Position Description can be viewed here. Ko koe tēnei | About you You are an experienced Executive Assistant who thrives in a dynamic environment and enjoys supporting senior leaders to perform at their best. You bring sound judgement, exceptional organisational skills and a calm, professional approach when managing competing priorities and sensitive information. What You Will Bring To The Role Proven experience supporting senior executives, ideally within a large and complex organisation Advanced organisational and time management skills Strong Microsoft Office capability and confidence learning new systems and technologies Excellent written and verbal communication skills The ability to build trusted relationships with stakeholders at all levels Strong problem-solving skills, initiative and sound judgement High levels of discretion, integrity and professionalism Exceptional attention to detail and accuracy Resilience and the ability to adapt to changing priorities A continuous improvement mindset and willingness to enhance ways of working A relevant administration qualification or equivalent experience preferred You will also demonstrate, or be willing to develop, an understanding of Te Ao Māori, tikanga and Te Tiriti o Waitangi as they apply in the public sector.
