Job Description

North Haven Hospice – Whangarei, North Island The Senior Clinical Administrator supports the clinical team with day-to-day administration whilst taking responsibility for extracting, analysing and interpreting data. As a PalCare Super User, you will take ownership of all clinical data reporting and providing PalCare system support for the clinical teams. Through collaboration with Clinical Nurse Managers and Clinical Equipment and Delivery/Facilities Manager, ensure the use of North Haven Hospice loan equipment is effectively tracked and co-ordinated. Reporting to the DCS, this role helps ensure accurate information, smooth workflows and effective decision-making that supports quality care and patient outcomes. Key responsibilities Develop and maintain effective administration systems for clinical processes, including an up-to-date desk file for the role Transcribe, format and send clinical correspondence promptly, ensuring accuracy and confidentiality Enter patient correspondence into PalCare accurately and in a timely manner Extract, analyse and interpret data from PalCare and produce regular and ad hoc reports for clinical, operational and organisational use Identify trends, risks and opportunities from available data and communicate findings to relevant stakeholders Validate and cleanse data to ensure accuracy and completeness and investigate and resolve data quality issues Produce and distribute weekly and monthly clinical activity reports including patient clinical reports of deactivated, discharged, deceased and referred patient numbers Provide user support, troubleshooting and guidance as a PalCare subject matter expert and develop and maintain PalCare user guides, procedures and training materials Coordinate and maintain accurate records of equipment allocation, return and servicing in collaboration with Clinical Nurse Managers and Clinical Equipment and Delivery/Facilities Manager Support equipment maintenance and compliance processes and coordinate servicing, repairs and safety checks with the Maintenance Person About you Previous experience in an administration, health administration, clinical administration, or data analyst role is highly desirable. Demonstrated experience extracting, analysing and interpreting data to produce meaningful reports and insights desirable. Advanced proficiency in Microsoft Excel, including data manipulation, reporting and analysis essential. Strong written communication skills with proven experience preparing professional correspondence, reports and documentation essential. Ability to learn and become a subject matter expert in specialised software systems essential. Strong stakeholder relationship management skills with the ability to work collaboratively across multidisciplinary teams desirable. Excellent problem-solving and analytical skills essential. Competent user of Microsoft Office Suite (Word, Excel, Outlook, Teams) essential.
