Job Description
The Service Coordinator role for Māmā Maia is a new role responsible for providing 2IC support for the Māmā Maia team, on behalf of the Team Lead; senior and executive administration management for the Māmā Maia programme, enabling the team to undertake their roles effectively and efficiently; Māmā Maia systems development and data management; reporting and quality assurance; event management; and special projects. Key responsibilities 2IC for Māmā Maia – Supports team and a positive, organised team culture, diary management for Māmā Maia programmes and Team Lead. Attends Huddles for Poutiri, Te Roopu Whakaraupapa and promotes internal Poutiri referrals. Pre-empts the needs of the Māmā Maia programme lead to ensure that they are provided with the information and resources they need to prioritise, prepare and undertake their work activities in an informed way. May include support for specific projects or services Team admin support — managing Māmā Maia incoming emails, organising hui, taking and distributing minutes, maintaining the service directory, travel management Referral management — managing incoming referrals, ensuring completeness, responding to referrers, chasing NHIs/consent, completing intake questionnaires, gathering whānau feedback, encouraging internal Poutiri referrals Hub front desk — welcoming whānau and midwifery clinics, ensuring a visitor experience based on manaaki Team culture & morale — uplifting team morale, supporting a positive team culture, maintaining the hub atmosphere Events & communications — Breastfeeding Coalition hui (secretary, agendas, minutes, follow-up), Big Latch On, Breastfeeding Education Day, Breastfeeding Week, team events, monthly pānui, social media Equipment & resources — pump bank management, Baby Start Box applications, donations, Koha Corner, stock and stocktakes, manage donations including receiving and organising items, and sending thank yous and acknowledgements About you At least 5 years senior administration and/or executive assistance experience preferably in medium to large organisations and with a kaupapa Māori or health focus Experience in leading teams or working in 2IC roles Able to engage effectively with Māori whānau including use of te reo me ōna tikanga Is reliable, friendly, approachable and resilient Flexible, adaptable and resilient Ability to build and maintain credible relationships internally and externally Produce written communication that is clear, concise and logical, and of a high standard that is easily understood by the reader and for Māori audiences and whānau Comfortable with computerised patient management systems About us Poutiri Trust is a kaupapa Māori charitable trust established in 1997 by Te Whānau Poutirirangiora ā Papa, a collective of kaumatua and kuia seeking to communicate and connect the Tiriti relationship and guarantees in health to the equitable treatment of Māori, with an overarching goal of improving the health status of Māori throughout the Bay of Plenty region. In 2021 Poutiri Trust established Poutiri Wellness Centre to integrate services to provide holistic, proactive, continuous and preventative whānau-centred care.
