Job Description
The Opportunity Hallmark Surgical is a New Zealand-owned medical device business supplying hospitals and healthcare providers across the country, with specialist ranges spanning electrosurgical, colorectal, gynaecology and sterilisation products. The business is in a genuine growth phase, and as it scales it is investing in stronger financial systems, clearer administration and better reporting. This is a newly created role. Rather than reporting into layers of management, you will work directly with the Founder and Managing Director, taking ownership of the finance and administration function and helping build the systems the business needs as it grows. It's a broad, hands-on role for someone who wants real scope and a business that will genuinely use what they build. The Role You’ll manage the day to day finance and administration function, including: Coordinating monthly management accounts and budget-vs-actual reporting with external accountants Maintaining cashflow visibility, and monitoring debtor days, aged receivables and creditor payments Overseeing accounts payable and receivable processing, coding and payment runs Supporting payroll administration, leave records and employment documentation Maintaining the contract register and tracking renewals, expiries and key dates Administering PHARMAC and Health NZ/HSC listings, submissions and contract records Handling general company administration, including insurance, company records and policy documents Improving systems, processes and reporting as the business continues to grow You’ll work closely with the sales and operations teams, and be the point of contact for external accountants, payroll providers, insurers and suppliers on finance-related matters. What We're Looking For You’ll bring hands‑on experience across accounting and finance administration, including supporting management accounts, cashflow reporting and accounts payable and receivable processes. You're comfortable managing deadlines and confidential information, with the attention to detail to keep contract records, admin systems and documentation under control. You're also confident following up other people for information, and comfortable working directly with owners and senior leaders. Experience with Xero, Unleashed or similar ERP and CRM systems is an advantage, as is exposure to a product, distribution, importing or healthcare-related business, contract or tender administration, or payroll. An accounting qualification, or progress towards one, would be an advantage, but what matters most is a track record of getting finance and administration right in a business that moves quickly.
