Fertility Associates – Auckland, North Island Own the function that keeps our clinic running smoothly Fertility Associates is looking for an experienced Administration & Clinic Services Leader to lead this critical function within our busy Auckland clinic. This is more than an administration leadership role. It's an opportunity to lead a diverse team, influence the patient experience, support clinical delivery, and help shape how our clinic operates day-to-day. What you'll be responsible for You'll provide leadership across a broad portfolio of responsibilities including: Team leadership Lead, coach, and develop a multi-skilled team across administration, reception, medical secretarial support, scheduling, enrolments, and accounts Foster a collaborative, high-performing team culture Drive engagement, accountability, and service excellence Patient services and clinic administration Lead the delivery of patient services and clinic administration, ensuring a seamless experience for patients and effective support for clinicians Oversee key administrative functions including patient enquiries, scheduling, reception, medical administration, accounts, and clinic support services Coordinate the administrative resources, systems, and relationships that help the clinic operate efficiently day-to-day Support the Clinic Manager with clinic-wide initiatives, supplier and facilities coordination, operational requirements, and continuous improvement activities Drive high standards of service, organisation, and operational effectiveness across the clinic Quality and continuous improvement Contribute to audit and quality activities Maintain high standards of documentation and administrative compliance Identify opportunities to streamline processes and improve service delivery Manage designated operational expenditure and purchasing Monitor clinic-related administrative costs Support effective resource planning and budget management What success looks like In this role, success means: A highly engaged and capable team A seamless experience for patients Strong partnerships with clinicians and stakeholders Efficient, well-organised clinic administration services Continuous improvement across systems, processes, and service delivery About you We're looking for an experienced leader who enjoys balancing people leadership with operational responsibilities. You’ll bring 5+ years of proven leadership experience within administration, healthcare support services, customer service, or a similar process driven environment Strong organisational and coordination skills The ability to manage multiple priorities in a fast-paced environment A proactive approach to problem-solving and continuous improvement Confidence building relationships across all levels of an organisation Most importantly, you'll be a practical, approachable leader who enjoys developing people, creating structure, and helping teams perform at their best.
