What this opportunity involves: We’re seeking a dynamic and professional Community Ambassador to serve as the face of our SAP client site, managing all front‑of‑house operations and facility services. This multifaceted role combines exceptional customer service with technical facility management, overseeing reception duties, meeting‑room coordination, vendor management, and site compliance. The ideal candidate will be a self‑motivated problem‑solver who can confidently engage with stakeholders at all levels—from C‑suite executives to contractors—while maintaining impeccable standards across all touchpoints. You’ll play a critical role in ensuring seamless daily operations, from access control and health & safety compliance to procurement processes and financial management. This position offers an excellent opportunity for someone with facilities, property management, or hospitality experience to make a significant impact in a fast‑paced corporate environment while developing strong client relationships and operational expertise. An overview of the role: General Front Office Duties/Help Desk: Internal and external call handling Meet and greet visitors, contractors and suppliers Information point for SAP employees Ordering stationery, couriers, general supplies, supplies, catering Access control and visitor management Client/Stakeholder Management: Provide superior customer service to meet on‑site client’s expectations Ensure that reception areas, including desk and seating areas, are tidy and presentable Maintain brochures and literature are kept up to date and are the most current edition Ensure that all conference rooms are cleared promptly and kept in a pristine condition Book meeting rooms as requested Ensure room set‑ups are in place for training, conference calls, town hall meetings, etc. Ensure rooms are stocked with appropriate supplies, as required (white board markers, pencils, pens, notepads, etc.) Liaise with Building Management to ensure that after‑hours air‑conditioning and lighting requirements are in place for after‑hours functions Ensure that Audio‑Visual services are in place and the necessary preparations have been made and are in working order and provide assistance as required for smooth running meetings Issue access cards, visitor passes and reports on events for monthly management reviews Mail and Mailroom management Ensuring quick turnaround and preventing prolonged storage Build and develop effective client/stakeholder relationships across multiple level stakeholders On‑site key point of contact for Facilities in the client’s premises Ensure compliance Fulfil any ad‑hoc requests promptly and efficiently to support the facilities manager or (SAP) business Ensure any faults or defects are noted and reported to facilities manager to ensure an outstanding client experience Procurement & Vendor Management: Coordinate and manage all contractors to site to ensure they compliant and following all JLL/SAP house rules Assist in the procurement of vendors and services as required Finance Management: Assist in financial processes to ensure that all financial management requirements are completed in a timely and accurate manner Ensure prompt and accurate management of purchase orders for both SAP and WO for JLL Health & Safety Management: This role has the responsibility and duty of care to work safely, taking reasonable care to protect their own health and safety and that of fellow workers and visitors and to comply with the requirements of the health and safety guidelines, policies and rules Updating of required HSSE Documentation and signage within the office Site Operations Management: Conduct site inspections and assessments regularly to always maintain safety and compliance Seek ways to constantly reduce costs and improve operational standards Maintain premises to a high standard Maintain and update all reporting requirements Front of house duties. Access management, Meeting room management. Food and Beverage management. Ensure all stocks are well maintained Review and update all site field manuals and reporting as requested or required Conduct utilisation studies and report as required Risk Management: Review, maintain and update property risk management program as required Support the implementation and monitoring of disaster recovering and business continuity plans Follow established escalation procedures and incident reporting procedures Adhere to JLL’s business conduct by ensuring compliance with the firm’s guidelines, procedures and strategies Performance objectives: Achieve Key Performance Indicators and Service Level Agreement targets for site and support these targets with the facilities management team Sounds like you?
