About The Company Our client is a well established organisation currently experiencing a high volume period of growth and operational activity. They are looking for a grounded, adaptable Office Administrator to join their dedicated team, keep the office running like a well oiled machine, and bring a great sense of humour to a busy, down-to-earth environment. About The Role You will play a pivotal role in keeping the day-to-day administrative function running smoothly. This role requires a balance of high level administrative mastery, scheduling expertise, and exceptional accuracy to manage a fast paced workload where no two days are the same. Key Responsibilities Communication & Coordination: Manage the busy inboxes and handle incoming phone calls with a professional yet approachable attitude. Scheduling & Calendars: Help manage scheduling when jobs come in and coordinate with the technicians Data & Systems Management: Utilise Microsoft 365 daily to draft documents, manage files, and maintain accurate internal records. Basic Finance & Invoicing: Assist with daily financial tasks, invoicing, and accounts processing (experience with Xero is highly advantageous but not necessary). Problem Solving: Act as the first point of contact for operational needs, resolving administrative issues quickly and efficiently. About You You are a methodical, system savvy administrator who loves order and thrives in a bustling environment. You possess a steady hand during peak periods, enjoy a workplace with a relaxed and authentic culture, and can work autonomously with minimal oversight. Requirements Technical Mastery: A solid, practical understanding of Microsoft 365 (Word, Outlook, and basic Excel). Systems Capability: Proven experience or familiarity with scheduling software and basic cloud-based accounting systems like Xero. Administrative Experience: A strong background in general office administration, phone management, and email correspondence. Quality Assurance Skills: An eagle eye for detail, with a proven track record of maintaining high accuracy across data and documentation.
