Surgery Practice Receptionist / Administrator Specialist Medical Receptionist & Administrator (Approximately 30–35 hours per week) Join our friendly specialist surgical practice at Forte Health. We're seeking an organised, professional and personable Medical Administrator to join our close-knit team supporting two busy specialist surgeons—one ENT and one Orthopaedic. This position is approximately 30–35 hours per week, with the potential for additional hours as the practice continues to grow. This is a varied and rewarding administrative role where patient care, teamwork and attention to detail are at the heart of everything we do. You'll work closely with the surgeons and fellow administration staff to ensure our patients receive an exceptional experience from their first enquiry through to surgery and follow-up care. About the role Your responsibilities will include: Welcoming and assisting patients in a friendly and professional manner. Managing clinic appointments and specialist schedules. Coordinating surgical bookings with hospitals and patients. Preparing correspondence, reports and other clinical documentation. Maintaining accurate patient records and data entry. Processing patient billing and invoicing. Liaising with patients, GPs, specialists, hospitals, ACC and insurers. Providing general administrative support to ensure the smooth running of the practice. About you We're looking for someone who is organised, adaptable and enjoys working in a busy specialist practice. You'll have excellent communication skills, a positive attitude and the ability to manage competing priorities while maintaining exceptional attention to detail. Ideally, you will have: Previous experience in specialist medical practice administration (preferred). Experience coordinating surgical bookings and managing specialist clinics. Excellent organisational and time management skills. Outstanding written and verbal communication skills. A warm, professional and patient-focused manner. High levels of discretion, integrity and confidentiality. Confidence using Microsoft Office and the ability to learn new systems quickly. Experience with Incisive, Elixir Practice Management software and Xero would be an advantage, although training can be provided for the right applicant.
