Office & Project Administrator – Residential Building Construction Accounts & Project Administrator Part-time | Tuesday to Friday, 9:00am–2:00pm | 20 hours per week | Six-month fixed term Seamless Builders is looking for a capable, energetic and experienced administrator to join our Papamoa-based building company. We specialise in high-quality renovations, additions and new builds, managing projects from the early design and planning stages through to construction and completion. This is a varied and meaningful role for someone who loves organisation, takes ownership and enjoys keeping people, projects and paperwork moving. We’re looking for someone proactive, switched‑on and confident—someone who notices what needs doing, follows things through and takes genuine pride in getting the details right. The role Working school‑friendly hours from 9:00am to 2:00pm, Tuesday to Friday, you’ll provide support across accounts, client communication and project administration. Your key responsibilities will include: Managing accounts payable, invoicing, reconciliations and approved supplier payments through Xero Processing payroll and PAYE administration Answering incoming calls, managing emails and gathering key information from new enquiries Coordinating appointments, site visits and client selection meetings Preparing and maintaining accurate project, selection and specification documentation Following up clients, suppliers and subcontractors for quotes, information and documentation Organising plans, scopes, compliance records and project files Booking inspections and assisting with supplier, procurement and delivery coordination Providing general administration support to help keep our projects and wider team running smoothly Accuracy is extremely important in this role. The information you prepare will be used by clients, suppliers, subcontractors and our construction team, so you’ll need strong attention to detail and confidence managing detailed documentation. About you You will ideally have: Previous experience in administration, accounts or office management Practical experience using Xero Experience with payroll, PAYE and accounts payable Excellent organisation and attention to detail A warm, confident and professional phone manner Strong written communication and customer‑service skills The ability to manage competing priorities and work independently Plenty of initiative, energy and common sense The confidence to follow people up and keep things moving A high level of discretion and trustworthiness Experience in the building, construction or trades industry would be a major advantage. Even better, you may have previously worked for a building company and already understand how plans, suppliers, subcontractors, inspections, selections and construction projects fit together. You’ll be warm, friendly and professional with our clients, and equally comfortable communicating with trades, suppliers and the rest of the team. You’ll be confident asking questions, following people up and making sure the small details don’t get missed. We’re a close‑knit, hardworking and down‑to‑earth team, so we’re looking for someone positive, practical and easy to work with who is happy to pitch in where needed. Hours and location Tuesday to Friday 9:00am to 2:00pm 20 hours per week Genuine school‑friendly hours Initial training and onboarding will be completed on‑site in Papamoa Hybrid working opportunities will be available once you are fully trained and established in the role This is initially a six‑month fixed‑term position, created to support our increased workload across confirmed construction projects. For the right person, there is genuine potential for the role to continue and grow alongside the business.
