Our large, high‑performing General Practice is seeking a confident, organised, and compassionate Medical Administrator / Receptionist to join our team. As a Cornerstone‑accredited GP clinic, we proudly serve a diverse community of 17,000 patients from a variety of cultural backgrounds. We operate Monday to Friday from 8:00 AM to 6:00 PM and on Saturdays from 9:00 AM to 2:00 PM. Health New Lynn is committed to a clinical governance leadership model, fostering a supportive environment for doctors and staff. We are focused on developing an interdisciplinary, team‑based approach to service delivery. As a medical receptionist you will demonstrate a strong customer service skill. You will be patient focused and demonstrate an understanding or a willingness to learn Tikanga Māori protocols. Along with your reception team members you will be responsible for the day‑to‑day reception and administrative services of the practice. About the Role As our Medical Administrator / Receptionist, you will: Deliver exceptional customer service, ensuring every patient feels supported, respected, and cared for. Manage front‑desk operations including greeting patients, answering calls, booking appointments, and maintaining accurate records. Provide high‑quality administrative support including scanning, filing, enrolments, PMS data entry, and document management. Oversee financial administration tasks such as charging, receipting, daily banking, and end‑of‑day reconciliation. Process and manage third‑party claims with organizations such as ACC , Southern Cross , POAC , and the Ministry of Health , ensuring accuracy and timely follow‑up. Monitor debtors, follow debt management processes, and identify missed revenue opportunities. Support the wider reception team, helping prioritize workloads and maintain consistently high service standards. Contribute to compliance activities including privacy, Cornerstone accreditation, and patient confidentiality. Foster a “Patient First” culture, ensuring our reception area is welcoming, efficient, and professionally always run. Must comply with Health New Lynn Health and Safety Policy. What You’ll Bring Strong customer service skills and a warm, welcoming manner. Proven experience in a medical reception or healthcare administration role. Excellent organizational skills, accuracy, and attention to detail. Confidence handling financial tasks, reconciliations, and third‑party claims. Fluency in Microsoft Office (Word, Excel, Outlook) and the ability to learn new systems quickly. Experience with PMS systems (Indici, Medtech, MyPractice or similar) is highly advantageous. A calm, mature, and empathetic approach, especially under pressure. A collaborative mindset and willingness to support your team.
