About the Role We are seeking an organised, customer-focused ClinicalAdministrator to join our team. This role is responsible for coordinatingpatient bookings and supporting the smooth flow of outpatient clinics andelective inpatient admissions in accordance with Health New Zealand WaitahaCanterbury standards and Ministry of Health (MoH) guidelines. Working closely with the Team Leader, Service Manager andClinical Director/Triaging Clinician, you will play a key role in ensuringpatients receive timely access to care while maintaining accurate records,managing waitlists and delivering exceptional customer service. Welcomeand assist patients attending clinic appointments. Maintainpatient confidentiality and privacy at all times. Verifyand update patient demographic information within the patient managementsystem. Identifyand refer unwell or vulnerable patients to clinical staff when required. Coordinateoutpatient and inpatient bookings in line with Waitaha Canterbury and MoHguidelines. Managereferrals, appointments and booking processes according to servicerequirements. Ensurepatients are booked according to priority, greatest need and longest waitprinciples. Communicateappointment information clearly and promptly to patients. Maintainaccurate and timely data entry across patient management systems. Liaisewith clinical teams regarding booking requirements, diagnostic testing andscheduling decisions. Youwill, at times, be asked to book for other departments, as you will bepart of a wider cluster team. Clinic & Waitlist Management Maximiseclinic utilisation through effective scheduling and management ofappointment capacity. Supportclinic preparation and post-clinic administration activities. Managecancellations and rescheduling processes in line with establishedprocedures. Monitorand maintain waitlists to ensure compliance with planned carerequirements. Coordinateinpatient and surgical bookings in collaboration with clinical teams andservice management. Escalateissues and seek clinical guidance where required. About You You will be a proactive and adaptable administrator whoenjoys working in a fast-paced healthcare environment and is committed todelivering excellent service and accurate administrative support. Excellentcustomer service skills with a people-focused approach. Strongorganisational, time management and problem-solving skills. Highlevel of accuracy and attention to detail. Experienceworking with data systems and learning new applications quickly. Abilityto prioritise workload, meet deadlines and work independently. Strongcoordination and multitasking skills. Team-focusedapproach with the ability to work collaboratively. Intermediateto advanced Microsoft Office skills, including Word, Outlook and Excel. Excellentkeyboard and data entry skills. Strongwritten and verbal communication skills. Demonstratedinitiative and a proactive approach to administration. Desired Skills & Experience Previousadministrative experience within a healthcare environment. Knowledgeof medical terminology. Familiaritywith public hospital systems and patient management systems. Awarenessand understanding of people from diverse cultural backgrounds.
