Archway Recruitment is partnering with a specialist engineering and professional services consultancy to recruit an experienced Office Administrator / Project Support Coordinator. With a team of approximately 40 people, this organisation delivers complex technical projects across New Zealand and is seeking someone who can become a key part of the business, supporting both day-to-day operations and project delivery. The Role This is a full-time, varied, and hands-on position with responsibilities split approximately 50/50 between office administration and project support. Acting as a central support function within the business, you will work closely with managers, project teams, and staff to ensure the smooth running of office operations while also assisting with project coordination and documentation. You will be trusted to work independently, manage competing priorities, and identify opportunities to improve processes and ways of working. This role will suit someone who enjoys being involved across different areas of a business and takes pride in being the person others can rely on. Key Responsibilities Include Providing day-to-day office administration support across the business Supporting managers and project teams with coordination, documentation, and administrative tasks Creating, formatting, and maintaining business and project documentation Assisting with project administration, reporting, records, and workflow coordination Managing reception and acting as the first point of contact for visitors and callers Coordinating meetings, travel, accommodation, and internal events Managing office supplies, equipment, and vendor relationships Overseeing fleet administration including WOFs, registrations, servicing, compliance, and vehicle presentation Supporting health, safety, wellbeing, and quality initiatives Maintaining accurate company records and document control systems Identifying and implementing process and system improvements Supporting the smooth day-to-day operation of the office and project teams Role Requirements Previous experience in administration, office coordination, project support, or business services Strong Microsoft Office skills, particularly Word document formatting and presentation Experience preparing, maintaining, and managing business or project documentation Strong organisational skills with the ability to prioritise and manage multiple tasks Exceptional attention to detail and accuracy The ability to work autonomously while also contributing positively to a team environment A proactive, solutions-focused mindset with a willingness to get involved Confidence working with technical teams and professional services environments Strong communication and relationship-building skills A positive, adaptable approach and the ability to take ownership of outcomes What's in it for You?
