Job Description

The Vice Chancellor (VC) & Provost Business Services Hub at Massey University invites applications for an experienced and motivated Senior Administrator. This role supports the Dean of Pacific and the Director of Research Operations, and their teams, reporting to the VC & Provost Business Services Hub Manager. This is a full-time, permanent position and is based on the Manawatu campus. Mo tenei turanga mahi | About the role This is a varied and rewarding role that provides high-level business support across two key areas of the University. Working closely with the Dean of Pacific and the Director Research Operations, you will play an important role in ensuring effective and efficient administrative services while building strong working relationships with a diverse range of stakeholders. Key responsibilities Providing comprehensive executive support, including complex diary and meeting management. Managing correspondence and responding on behalf of senior leaders where appropriate. Preparing agendas, papers, minutes, reports and other documentation. Coordinating events, workshops and meetings from planning through to delivery. Supporting and managing small projects and initiatives. Developing a strong understanding of the priorities, activities and stakeholders of the teams you support. Identifying opportunities to improve processes and implementing practical solutions to enhance service delivery. Providing guidance and support to the wider administrative team on business support processes and stakeholder interactions. Contributing to both day-to-day business operations and longer-term strategic projects as part of the Business Hub team. Mou | About you To be successful in this role, you will bring strong administrative expertise, excellent organisational skills, and the ability to work effectively in a complex and fast-paced environment. You will have Previous senior administrative experience, preferably within a large and complex organisation. Experience in executive support, with executive assistant and/or project management experience being advantageous. Intermediate to advanced proficiency in Microsoft 365 applications, including Microsoft Teams and SharePoint. Experience using HRIS and finance systems, or the ability to quickly learn new systems. Strong research and information management skills, with the ability to quickly become familiar with technical and specialist terminology. Confidence working with a diverse range of stakeholders, including specialist knowledge workers. Excellent communication, prioritisation and relationship-management skills. A proactive approach, with the ability to manage competing priorities and work independently. Ko nga hua o te turanga? | What's in it for you?
