Job Description Are you an experienced Executive Assistant who thrives in a fast-paced environment and enjoys being the person who keeps everything running smoothly behind the scenes? We are looking for a highly organised, proactive and relationship-focused Executive Assistant to provide exceptional support to a senior executive within Hamilton City Council. This is an opportunity to work at the heart of the organisation, supporting critical work that helps shape outcomes for our city and community. As a trusted partner, you’ll provide high-level administrative, coordination and logistical support, ensuring the smooth management of competing priorities, complex schedules, stakeholder engagements and key initiatives. You’ll be someone who can anticipate needs before they arise, manage confidential information with discretion, and maintain a calm, professional approach when navigating competing demands. Key responsibilities include: Managing complex diaries, meetings, travel and briefing schedules Coordinating agendas, reports, meetings and documentation Managing correspondence, inboxes and information flow Building strong relationships with internal and external stakeholders Supporting the preparation of high-quality reports, presentations and briefing material Identifying opportunities to improve systems, processes and ways of working Providing seamless administrative support that enables effective decision-making and delivery You’ll bring significant experience supporting senior leaders in a complex organisation and be recognised for your ability to stay one step ahead. Qualifications Oo puumanawa me oo wheako | Your skills and experience 5+ years' experience as an Executive Assistant supporting senior executives Exceptional organisation, prioritisation and time-management skills Outstanding communication and relationship-building abilities The ability to manage multiple competing priorities with confidence Strong judgement, discretion and professionalism Advanced Microsoft Office skills, including Word, Excel and PowerPoint A proactive, solution-focused mindset and a commitment to continuous improvement Experience working in a local government, public sector or large corporate environment would be advantageous Additional Information He aha te wariu o te utu kaimahi? | What’s the salary?
