Our client is a central government agency that plays an important role in supporting the recognition and quality across New Zealand. With a strong focus on service, collaboration, and continuous improvement, the organisation is undertaking a significant workplace relocation project that will support more modern, flexible, and digital-first ways of working. The Role Reporting to the Project Manager, you will provide day-to-day coordination and administrative support across a large-scale office relocation programme. This is a varied and hands-on role where you'll work across multiple project workstreams, ensuring activities are well coordinated, documentation is maintained, and stakeholders remain informed throughout the project lifecycle. Key Responsibilities Include Coordinating project activities, meetings, workshops, and stakeholder engagements Preparing agendas, meeting minutes, action logs, reports, dashboards, and governance documentation Maintaining project schedules, registers, records, risks, issues, and action trackers Supporting project communications, presentations, and stakeholder updates Assisting with vendor, contractor, and logistics coordination Supporting workplace readiness and change initiatives associated with the office relocation Maintaining accurate project records and information in line with organisational standards Providing general project administration and reporting support to the Project Manager and wider team This is a fixed-term opportunity through to February 2027 as the move programme is completed. Role Requirements To be successful in this role you will bring: Proven experience in project coordination, project administration, or project support roles Strong organisational skills and the ability to manage multiple priorities simultaneously Experience coordinating meetings, workshops, stakeholder engagements, and project activities Excellent written and verbal communication skills Strong attention to detail and reporting capabilities Experience maintaining project documentation, registers, records, and reporting frameworks Advanced proficiency across Microsoft Office, particularly Excel, Word, PowerPoint, Teams, and SharePoint The ability to work independently while contributing positively to a broader project team What's in it for You? Fixed-term contract through to February 2027 Flexible part-time hours of 20-24 hours per week Flexibility around start and finish times Hybrid working - 2-3 days in the office and you will be required to be in the office for any workshops.
