Mō te tūnga | About the role As a Senior Executive Assistant , you will provide high-quality executive, administrative, and coordination support to the Office of the Deputy Chief Executive (DCE), Commissioning and Investment. This is a unique opportunity to work at the centre of a dynamic and high-profile group that is shaping how Oranga Tamariki commissions and invests in services for tamariki, rangatahi, whānau, and communities. You'll work across a diverse portfolio, build strong networks across the organisation, and play a key role in helping senior leaders deliver on strategic and operational priorities. Working closely with the DCE and two General Managers, you will help ensure the smooth day-to-day operation of the office. You will coordinate schedules and meetings, manage workflows, monitor actions, and ensure key commitments and deliverables are delivered on time. No two days are the same. This is a varied and rewarding role that requires excellent organisational skills, sound judgement, attention to detail, and the ability to build strong working relationships with a wide range of stakeholders. Working in a fast-paced environment, you will take a proactive approach to anticipating needs, managing competing priorities, and ensuring information, communications, and administrative processes run smoothly. Success in this role will come from your ability to build trusted relationships, work collaboratively across the organisation, and create confidence through your professionalism, initiative and approachable style. Your contribution will help ensure the DCE and General Managers can focus on delivering meaningful outcomes for tamariki, rangatahi, whānau, and communities. As a Senior Executive Assistant, you will bring your expertise to: Provide high-quality executive and administrative support to the DCE, Commissioning and Investment, and the wider Office of the DCE. Coordinate workflows, monitor actions, and track key commitments and deliverables to support timely completion. Provide scheduling support and email triage to two General Managers supporting the DCE, Commissioning and Investment, ensuring information is prioritised and responded to appropriately. Manage finance and invoice processing and support other business management activities across the group. Assist with people-related administrative processes and contribute to the effective functioning of the wider team. Act as a key point of contact and valued member of the executive support network, providing responsive support and coordination across the group. Build and maintain strong working relationships with internal and external stakeholders, fostering collaboration and positive outcomes. Proactively identify and manage priorities, risks, and emerging issues, escalating matters where appropriate. You will: Thrive in a fast-paced and complex environment, using sound judgement, discretion, and initiative to build trusted relationships, navigate competing priorities, and adapt effectively to changing demands. Demonstrate exceptional organisational and coordination skills, managing multiple priorities with accuracy and attention to detail while exercising sound judgement to identify emerging risks and issues and escalating matters appropriately. Take a proactive approach to managing information, workflows, and communications, anticipating needs, resolving issues, and ensuring stakeholders are informed and actions are progressed in a timely manner. Build and maintain effective and trusted relationships with a diverse range of internal and external stakeholders, communicating confidently, professionally, and with influence while tailoring your approach to different audiences and situations. Demonstrate an understanding of Te Tiriti o Waitangi, an appreciation of diverse perspectives, and a commitment to tikanga Māori and culturally responsive practice.
