Job Description
Due to the growth of our practice, we are looking for an experienced receptionist to join our friendly team at Pāpāmoa Orthodontist and Tara Rd Dental. We operate a busy, combined specialist orthodontic and dental practice, and our patients genuinely value the high level of care and service we provide. This is a full-time, Monday to Friday position, offering a varied and important role within a supportive and professional team. This is a fast-paced role that requires you to confidently manage multiple tasks at once, while remaining present, welcoming, and attentive to patients arriving or needing assistance at reception. About the Role As the first point of contact for our patients, you play a key role in shaping their experience. This position requires someone who can balance professionalism with a warm, down-to-earth approach, while maintaining a high level of accuracy and attention to detail. A strong focus on patient confidentiality, precise record management, and a confident, professional phone manner is essential. Key Responsibilities Welcoming patients and creating a friendly, professional first impression Managing phone calls, emails, and patient communications with confidence and care Scheduling and coordinating appointments efficiently, including managing cancellation and rebooking lists Ensuring all patient information is entered accurately and kept up to date Managing patient payments and accounts Handling referrals and correspondence Preparing letters and PowerPoint presentations for patients Contacting patients for follow-up care after treatment Posting courier items and managing incoming/outgoing mail Supporting the smooth day-to-day running of the practice, including tasks such a laundry, general cleaning and tidying, and staff room maintenance About You We are looking for someone who is: Reliable, lively, and engaging Highly organised with excellent attention to detail Accurate and trustworthy, with a strong understanding of confidentiality A confident and professional communicator on the phone and in person Efficient with strong time management skills Proactive, shows initiative, and happy to help where needed A team player who brings a positive, down-to-earth attitude Previous reception experience is essential. Experience in the dental and/or orthodontic industry would be helpful, but is not essential for the right person. We use Exact practice management software, so experience with this system is highly advantageous.
