Job Description

GJ Investment Limited, operating as GJ Kitchens, is an Auckland-based designer and manufacturer of high-quality bespoke kitchens, storage solutions and custom cabinetry. We are looking for an organised and detail-focused Project Coordinator to support the planning and administration of our kitchen and cabinetry projects. Key Responsibilities Coordinate kitchen and cabinetry projects from design confirmation through manufacturing, installation and final completion. Prepare and maintain project schedules, work plans, job files, specifications, progress records and other project documentation. Liaise with clients, designers, factory staff, installers, builders, subcontractors and suppliers to ensure project requirements and timelines are clearly communicated. Coordinate site measurements, design approvals, production handovers, material availability, installation schedules and project completion. Monitor project milestones and follow up with relevant parties to ensure work progresses according to the agreed schedule. Respond to project-related enquiries, identify scheduling or coordination issues and assist in resolving problems that may affect project delivery. Record and administer approved changes to project scope, specifications, work orders and installation arrangements. Track project variations and report any potential delays, additional requirements or matters requiring management attention. Monitor work completed by installers and subcontractors and report progress, variations or outstanding work to management. Maintain accurate records of client approvals, project correspondence, drawings, specifications, supplier information and completion documents. Collect and analyse project information and prepare regular progress, variation and project completion reports. Assist management in implementing project decisions and follow up on agreed actions. Support project handover by coordinating final inspections, outstanding work and completion documentation. Contribute to improvements in project administration, scheduling, communication and record-keeping processes. Requirements Applicants must meet at least one of the following requirements: A relevant NZQCF Level 5 qualification in project management, business administration, construction management or a related field; or A Bachelor’s degree or higher qualification in any discipline; or At least two years of relevant work experience in project coordination, project administration or a similar position. The Successful Applicant Will Also Have Strong organisational and time-management skills, with the ability to coordinate multiple projects at different stages. Strong attention to detail and accurate document-management skills. The ability to communicate effectively with clients, suppliers, contractors and internal team members. Confidence in following up project actions and resolving day-to-day coordination issues. Proficiency in Mandarin Chinese would be an advantage.
