Forte Recruitment – Wellington Central, North Island About the role Use your experience as an Executive Assistant, combined with governance coordination and business administration expertise, to thrive in a challenging and rewarding opportunity. You'llbe responsible forensuring the ChiefExecutive and governancefunctionsoperate efficiently whilecontributing to continuousimprovement across administrativesystems and processes. Key responsibilities: Providing high-levelexecutive support, includingdiary management, correspondence, travel arrangements andmeetingcoordination. Delivering governance andsecretariat support tothe Board andBoard committees, includingpreparing agendas, coordinatingpapers, taking minutesand trackingactions. Managing organisationalreporting, monitoring workflows, and following upon key deliverables. Coordinating reports, briefingsand papers acrossthe organisation toensure deadlines aremet. Maintaining confidentialrecords and ensuringinformation is managedsecurely and accurately. Leading improvements toSharePoint document managementand administrative processes. Supporting contractadministration, invoiceprocessing and financialreconciliation activities. Assisting with events, stakeholder engagementand other organisationalinitiatives. Aboutyou: You are anexperienced Executive Assistantwith outstanding organisationalskills and astrong understanding ofgovernance best practice. You are comfortableworking independently,exercise sound judgement, and build trustedrelationships with peopleat all levels. To be successful in this role you will have: Atleast five years' experience supportinga Chief Executiveor senior executive. Proven experience providinggovernance and secretariatsupport to aBoard, Chair orgovernance committees. Exceptionalorganisational, planningand time managementskills with theability to managecompeting priorities. Strong experience withdiary management, travelcoordination, meeting administration, records management andbusiness reporting. Confidence using MicrosoftOffice, SharePoint andother business systems. Excellent written andverbal communication skillswith exceptionalattention to detail. The ability tohandle sensitive andconfidential informationwithprofessionalism and discretion. A commitment toworking in alignmentwith the principles, spirit and intentof Te Tiritio Waitangi. The following would be advantageous: A relevant qualificationin businessadministration, managementor a relatedfield. Experience using AItools to improvebusiness efficiencyinan ethical andpractical way. Experience with Mailchimp, Canva or similardigital communicationplatforms. Proficiency in tereo Māori meōna tikanga. What's on offer: This is a permanent part-timeposition based inThorndon, Wellington, with flexibility between0.5 and 0.8FTEfor the rightcandidate. The role isprimarily office-based, with flexible workingarrangements available.
