Fixed term, part time Office Assistant - 9 hours - 4.5 hours on Mondays and Fridays from 9.30-2.30 KEY TASKS, GUIDELINES AND OUTCOMES: Be the “front face” for the school – build functional relationships with all stake holders and make sure their needs are addressed. Show respect for Te Ao Māori and honour the principles of Te Tiriti o Waitangi in all aspects of the role, including communication, customer service, and interactions with colleagues, whānau, and members of the community. To attend to phone calls, office emails. Carry out attendance related administration, making contact with parents if student absences are unexplained. Advise principal of ongoing concerns. Ensure the office environment is neat and tidy with appropriate displays Undertake professional development as required Open school mail and distribute accordingly. Be responsible to ensure office equipment is maintained and running smoothly e.g. photocopier, laminator. Process any photocopying or laminating for teachers or principal as required. Attend to sick and injured students. Record accidents in record book. Advise parents Office Manager of serious injuries, and contact parents. Notify parents and teachers if a child needs to be sent home. Monitor cleanliness of staffroom – advise staff if any concerns. (Other staff share responsibility of cleaning). Assist parents and caregivers fill out all enrolment forms and requirements. Ensure they have spoken with principal. Take a copy of birth certificate to be followed up, and request information on immunisation records. Send any student information to schools when a child moves on (after consultation with the Teacher and Office Manager). Arrange packages to be couriered. Record access arrangements for children’s family situations onto EDGE. Any legal access matters to be advised in writing on inside door of staff pigeon holes. Advise all staff of extreme medical conditions by printing out student picture, their condition, and the action required. Update as required. Maintain office supplies with appropriate ordering and storage. Regularly replenishing Kids Can food termly. Organise stationery lists at the end of each year for the beginning of next year. Keep EDGE records up to date. Keep ENROL records up to date. Have an up to date First Aid Certificate. Restock medical room supplies as required and keep medical room in an orderly condition. Ensure staff tea, coffee etc. is in supply and purchase as necessary. Stamp books from Learning Media and the Ministry of Education, and distribute appropriately. Liaise with lunch providers as required. Organise and keep records of sports uniforms as required. File office documents appropriately including RAM forms. Ensure Civil Defense and Emergency Procedures are carried out in conjunction with CD Lead Teacher, and Principal. Carry out annual stocktake of food items in emergency kits and organise replacement kai, batteries, and emergency equipment.
