As our business continues to grow, we're looking for an organised, proactive and tech-savvy Approvals & Office Coordinator who enjoys variety and thrives on keeping people, projects and information moving. This isn't your typical administration role. You'll play a central role in supporting the day-to-day operations of the business, helping keep projects on track, managing developer approvals, supporting our sales team and ensuring the office runs efficiently. One day you might be coordinating project documentation, liaising with consultants or reviewing subdivision plans, and the next you'll be assisting with marketing initiatives, updating our website or helping organise an event. If you enjoy being the person who keeps everything running smoothly behind the scenes, we'd love to hear from you. What you'll be doing You'll play a key role across the business by: Managing developer approvals and associated documentation Reviewing building and landscaping plans for compliance with subdivision requirements Liaising with customers, consultants, surveyors, lawyers and internal teams Preparing professional documents, reports and presentations Supporting the sales team with administrative and coordination tasks Coordinating office administration and the day-to-day running of the Prebbleton office Assisting with marketing campaigns, collateral, website updates and events Working alongside the Marketing Strategist to support campaign delivery Identifying opportunities to improve systems, processes and business efficiency What you'll bring You'll be someone who enjoys juggling a variety of responsibilities and takes pride in delivering high-quality work. Experience in a business coordination, administration, operations or project support role Outstanding organisational skills and exceptional attention to detail Strong written communication and proofreading skills Confidence using Microsoft Office and digital platforms including CRMs, document management systems and websites The ability to build positive relationships with a wide range of stakeholders A proactive approach and the confidence to take ownership of your work The ability to prioritise competing tasks and adapt as business needs change Experience in property, construction or land development would be an advantage, but it's not essential Why join Urban Estates?
