We are looking for a detail-oriented and methodical individual to join our team as an Automation Assistant, supporting the rollout and ongoing maintenance of document automation and digital workflow tools across the firm. While not essential, this role is likely to suit someone with previous experience working in a law firm or professional services environment who understands the importance of accuracy, consistency and document management. About the role This is a hands-on implementation role supporting the firm's Operations Manager with the build and maintenance of document automation templates and digital workflows. The primary focus is our document automation platform, which we are actively rolling out across our precedent library. As much of the work involves legal precedents, templates and matter-related processes, an understanding of how documents are used within a legal practice would be advantageous. We are happy to provide training on the specific tools we use. You will work closely with the Operations Manager, receiving clear direction on priorities and approach. The focus of the role is careful, accurate implementation and would suit someone who takes pride in getting the detail right. You can expect a varied and interesting workload with typical tasks including: Building and updating templates, converting existing Word precedents into structured, automated formats; Building client intake forms to streamline information gathering for legal matters; Working with the legal team to extract and organise clauses from existing precedents to build out the firm's clause bank; Applying consistent formatting, logic, and naming conventions across templates and testing outputs; Maintaining and updating templates on an ongoing basis as the firm's precedents change; Documenting build work so that templates can be maintained and reused over time; Assisting with Power Automate workflows and other Microsoft 365 tools (SharePoint, Copilot, Forms etc) as directed; and Providing general support to the firm's automation and systems projects as required. What we are looking for in a candidate This role is best suited to someone who enjoys methodical, process-driven work and takes pride in getting the detail right. You do not need prior experience with the specific tools we use, but you do need to be the kind of person who picks up new systems quickly and follows instructions carefully. Experience working in a law firm, legal support role, or another professional services environment would be highly regarded, particularly where you have worked with structured documents, templates, precedents, or process-driven workflows. You will be able to demonstrate the following: Strong attention to detail and a careful, consistent approach to structured document work; The ability to follow instructions and implement reliably, and to ask questions when direction is unclear; Good organisational skills and the ability to manage your own workload independently; Confidence working within Microsoft 365 environments and proficiency in Microsoft Office; A willingness to learn new tools and processes; Experience working in a law firm or professional services environment would be advantageous; and Experience with document automation tools or Power Automate is an advantage but not required. Position Details We expect this role to begin as a fixed-term engagement, primarily to support the firm's current automation and template development project. We are open to discussing full-time or part-time arrangements with the right candidate. While the immediate focus is on a defined body of project work, there may be potential for the role to extend or transition to a longer-term or permanent position as our automation initiatives continue to develop. Queenstown or Wānaka-based candidates are preferred, but remote working will be considered.
