Client & Contractor Projects Co-ordinator Client & Contractor Projects Co-ordinator Vessel Works is seeking a capable, professional and commercially minded Client & Contractor Projects Co-ordinator to join our team full-time in Tauranga. This is an office-based administration and client liaison role supporting the successful delivery of vessel projects undertaken at the Vessel Works facility. This is not a project management role. Instead, you'll provide the administrative, financial and communication support that underpins every project from booking through to completion. From the moment a client engages Vessel Works, you'll prepare yard quotations, gather booking information, coordinate haul-out and berth reservations, collect deposits and establish project files. Working alongside the Business Operations team, you'll use the project work scope as a reference to manage the administration associated with each project. A significant part of the role is project accounts administration. You'll manage project financial records using Xero, coordinate contractor invoices and prepare one consolidated monthly invoice for each client. You'll act as the primary administrative liaison between Vessel Works, vessel owners, captains, project managers and contractors. Your role is to ensure project information is communicated effectively, documentation is complete and clients receive a professional administrative experience throughout their engagement with Vessel Works. Your role is to support the administrative, financial and communication requirements of the project from the Vessel Works office, ensuring all parties have the information they need and that Vessel Works' booking, invoicing and contractor administration processes are followed. This role requires someone who is confident having professional commercial conversations. You'll regularly explain Vessel Works' booking procedures, invoicing processes and site requirements, while following up outstanding information, approvals and documentation to keep projects progressing. No two days are the same. One day you may be preparing documentation for an international superyacht arrival, the next coordinating bookings, processing contractor invoices, assisting a vessel owner or ensuring contractor compliance documentation has been received. We're looking for someone who takes ownership of their responsibilities, enjoys building relationships, follows tasks through to completion and is comfortable working in a fast-paced environment where exceptional customer service and attention to detail are essential. What You'll Bring Essential Previous experience in administration, project administration, office liaison or accounts administration. Strong accounting and financial administration skills, including practical experience using Xero. Excellent organisational skills and exceptional attention to detail. Outstanding written and verbal communication skills. Confidence communicating with clients, contractors, project managers and suppliers. Ability to professionally navigate commercial conversations and consistently apply company policies and procedures. Strong computer literacy across Microsoft Office and cloud-based software. A proactive, organised and solutions-focused approach. Ability to prioritise multiple tasks and follow them through to completion. Comfortable following up outstanding information, documentation, quotations, deposits and invoices. Ability to build positive working relationships while maintaining professional boundaries. Commitment to working on-site five days per week. A desire to build a long-term career with opportunities for future leadership. Desirable Experience within the marine, construction, engineering or trade industries. Experience in contractor liaison, project administration, contract administration or client coordination. Knowledge of vessel maintenance, refit or shipyard operations. Hours Hours: Monday to Friday, 8:00am–4:00pm Full-time, office-based position located in Tauranga. Due to the nature of the marine industry, occasional client enquiries or project-related phone calls outside normal business hours, including weekends, may be required to support our clients and the projects underway at the Vessel Works facility. #J-18808-Ljbffr
