The Role We're looking for a friendly, organised, and adaptable person to join our Customer Care team across our Faringdon and Wigram clinics. Customer Care is the heart of how patients experience WeCare. This role spans two complementary areas of responsibility: Reception (front‑of‑house) — welcoming patients, booking appointments, managing the waiting room, processing payments, and supporting day‑to‑day clinic flow. Administration (back‑office) — processing enrolments and transfers, managing inboxes and task boxes, scanning documents, and keeping patient records accurate and up to date. You'll be trained across both streams and may be assigned to either — or a combination — on any given shift. That flexibility is what keeps our practice running smoothly, and it makes the role varied, interesting, and a strong foundation for a career in primary care. What You'll Be Doing On reception, you'll: Greet patients warmly in person and arrive them in our PMS (Medtech) Book appointments accurately and manage the waiting room with care Take clear, accurate messages and route enquiries promptly Register new patients and enrol them with the PHO Process payments, raise Quick Bills, and reconcile banking Monitor the clinic‑specific email inbox and reception task box Notice when a patient is unwell or distressed, and act quickly to get them the right support In administration, you'll: Process new enrolments, transfer‑ins and transfer‑outs in line with PHO guidelines Monitor provider inboxes, the unmatched inbox, and the ADMINT task box Manage GPVU expiring enrolments, audits, and visa‑expiry follow‑ups Scan and file incoming mail and documents into patient records Chase up patient notes from previous providers Keep things moving so clinical staff can focus on patients Across both, you'll: Represent the WeCare brand with warmth and professionalism Use our AI‑powered intranet and other smart tools to work efficiently and find answers fast Maintain patient confidentiality in line with the Privacy Act 2020 and the Health Information Privacy Code Apply the principles of Te Tiriti o Waitangi to your daily work Work in a culturally safe and respectful way with every patient and colleague What We're Looking For A genuine customer‑service mindset and a warm, calm presence — especially when things get busy Strong attention to detail, particularly with appointments, charging, and patient records Confidence with computer systems and a willingness to embrace new technology (experience with Medtech or a similar PMS is a plus, but not essential — we'll train you) The ability to prioritise, switch tasks, and stay organised across competing demands Clear, courteous communication — written and spoken Someone innovative and keen to work with AI tools A team‑first attitude and a willingness to step in where you're needed Working knowledge of patient privacy and confidentiality (or a genuine commitment to learn it quickly) Awareness of and respect for cultural diversity and the social determinants of health We welcome applications from people with strong transferable skills from other customer‑focused industries.
