Job Description

Executive Assistant & Office Coordinator Reporting directly to the CEO/Director, you'll provide high-level executive support while coordinating the day-to-day operations of two office locations. Your responsibilities will include: Executive Support Managing busy calendars, meetings and travel arrangements Preparing reports, presentations, agendas and meeting minutes Managing confidential correspondence and information Supporting Directors with competing priorities and day-to-day administration Office Coordination Overseeing the smooth operation of two office locations Maintaining office systems, records and document management Coordinating office supplies, equipment and service providers Supporting Health & Safety and general office administration Project & Tenancy Administration Coordinating project documentation and reporting Maintaining project action registers and records Liaising with consultants, contractors and stakeholders Managing tenancy documentation, inspections and communications Business & Finance Support Providing administrative support across multiple companies and investment entities Working closely with the Finance Team using Xero and internal systems Assisting with invoice workflows, approvals and financial administration Supporting month-end processes and maintaining accurate records About You We're looking for someone who is professional, adaptable, and enjoys working in a dynamic environment with multiple priorities. To be successful, you'll bring: Previous experience as an Executive Assistant, Executive Coordinator, Office Manager or similar Experience supporting senior leaders or executives Strong organisational skills with exceptional attention to detail Excellent communication and stakeholder management skills Confidence using Microsoft Office and Xero The ability to manage competing priorities while maintaining confidentiality A proactive, flexible and solutions-focused approach The ability to work independently while also contributing to a collaborative team A qualification in Business Administration (or a related field) and a current New Zealand Drivers Licence are advantageous but not essential.
